Position Objective
The Senior Executive - Accounts Receivable is responsible for ensuring that receivable transactions, customer balances, collections, reconciliations, and supporting records are processed accurately and within required timelines. The position works with internal and external stakeholders to resolve billing and payment issues, maintain accurate customer accounts, support financial reporting and audit requirements, and identify opportunities to improve collection efficiency and receivables processes.
Accounts Receivable Operations
- Manage end-to-end accounts receivable activities, including customer creation, invoicing, receivables accounting, ageing analysis, collections, and account reconciliations.
- Maintain accurate customer account balances and ensure receivable transactions are recorded correctly.
- Monitor outstanding balances and overdue receivables and follow up on payment delays.
- Ensure customer receipts are posted and allocated accurately against outstanding invoices.
- Process and reconcile receipts received through bank and other payment channels.
- Maintain accurate customer master data in accordance with company requirements.
Collections and Credit Control
- Follow up with customers regarding overdue invoices, pending payments, payment confirmations, and remittance details.
- Monitor collection performance and take appropriate follow-up action on overdue balances.
- Support credit control activities relating to customer credit limits and payment terms.
- Escalate overdue accounts where required according to established procedures.
- Assist in resolving payment issues that may affect collection timelines.
Reconciliation and Issue Resolution
- Perform customer ledger reconciliations and investigate discrepancies.
- Ensure receipts are allocated correctly against relevant invoices and outstanding balances.
- Coordinate with Sales, Commercial, and Operations teams to resolve billing disputes.
- Support resolution of inventory reconciliation issues, credit notes, pricing differences, and other collection-related matters.
- Maintain clear supporting documentation for adjustments and account reconciliations.
Reporting and Month-End Closing
- Prepare and monitor accounts receivable ageing reports.
- Produce collection reports and daily or weekly outstanding statements for management review.
- Assist with month-end closing activities relating to accounts receivable.
- Support AR reconciliations, ageing reviews, doubtful debt provisions, and balance sheet schedules.
- Ensure receivable balances and supporting schedules are complete and accurate for reporting purposes.
Compliance and Audit Support
- Ensure accounts receivable processes comply with company policies, internal controls, and applicable accounting standards.
- Maintain accurate records and supporting documentation for receivable transactions.
- Support internal and external audits by preparing AR schedules, reconciliations, and supporting documents.
- Provide explanations and supporting information for outstanding balances and reconciliation items when required.
Process Improvement
- Review existing accounts receivable processes and identify opportunities for improvement.
- Support automation initiatives that can improve collection efficiency and reduce manual processing.
- Help streamline reconciliation, reporting, and follow-up activities.
- Contribute to reducing overdue receivables through stronger process controls and timely monitoring.
