Job summary

Dubai Department of Economy and Tourism is seeking a Senior Associate Retail Festivals & Events to coordinate the operational requirements of retail festivals, DSF events, activations and related initiatives. You will prepare workplans, trackers, and updates to support timely delivery.

Responsibilities include maintaining detailed event plans, coordinating with internal teams, managing budgets and procurement, and ensuring compliance with regulations.

Responsibilities

• Coordinate operational planning and delivery of retail festivals, DSF events, activations, and related initiatives by preparing workplans, tracking timelines and deliverables.
• Maintain detailed event workplans including timelines, milestones, trackers, deliverables, dependencies and approvals.
• Develop event briefs, project one-pagers, presentation materials, planning documents and trackers to support planning and execution.
• Maintain action trackers covering requirements, approvals, inputs, procurement progress, vendor deliverables, risks and decisions.
• Coordinate with internal teams to align events with the wider DET/DFRE calendar and campaigns.
• Track budgets, purchase requests, quotations, invoices and expenditure in coordination with Finance and Procurement.
• Prepare procurement requirements and supporting documentation for RFPs/RFIs and contracting processes.
• Follow up with agencies, vendors, venues and sponsors to ensure inputs and deliverables are completed on time.
• Maintain documentation including approvals, contracts, invoices and supplier correspondence.
• Coordinate with internal and external parties to support smooth implementation of events and activations.
• Attend coordination meetings, document action points and follow up on deliverables.
• Act as operational contact point, sharing updates and collecting inputs from stakeholders.
• Coordinate with Event Marketing and Communications teams on event details and promotional needs.
• Maintain strong relationships with partners, malls, sponsors and service providers to support delivery.
• Conduct site visits to review venue readiness, branding, access, logistics and crowd flow.
• Prepare run-sheets, schedules, contact lists and escalation trackers.
• Monitor events on the ground, identify issues and escalate risks for timely resolution.
• Ensure permits, approvals, NOCs, safety and regulatory requirements are met.
• Maintain event records for governance, audits and future reference.
• Prepare periodic updates and post-event reports with outcomes, challenges and lessons learned.
