Job Purpose:
To manage and organize all office administrative affairs, ensuring smooth daily operations through efficient handling of correspondence, files, clients, and internal and external follow-ups — including responsibilities related to residence permits, trade licenses, and renewals.
Main Responsibilities:
- Organize and maintain both physical and electronic filing systems for easy access.
- Welcome and assist visitors and clients, respond to their inquiries, and direct them to the appropriate department.
- Handle phone calls, emails, and appointments efficiently.
- Prepare and follow up on official letters, administrative reports, and correspondence.
- Coordinate meetings and schedules between management, staff, and clients.
- Follow up on all government-related procedures such as residence visas, trade licenses, and renewals.
- Communicate with official and semi-official entities as directed by management.
- Manage office supplies and prepare purchase requests when needed.
- Prepare and organize attendance sheets and monitor administrative compliance.
- Coordinate with other departments to ensure workflow efficiency.
- Receive and distribute mail and daily correspondence.
- Provide full administrative support to the management in all day-to-day activities.
Qualifications and Experience:
- Diploma or Bachelor’s degree in Business Administration or a related field.
- Minimum of 2 years of experience as a secretary or office administrator in the UAE.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong organizational, coordination, and communication skills.
- Ability to deal professionally and confidentially with clients and staff.
- Fluency in Arabic; good command of English is preferred.
