We are looking for a detail-oriented and proactive Sales Coordinator to support our sales team in organizing, tracking, and streamlining all sales operations. The ideal candidate will be passionate about coordination, communication, and ensuring smooth execution of sales activities within our events and exhibitions division.
Key Responsibilities :
- Plan and coordinate all aspects of event execution, working closely with internal teams to ensure seamless delivery.
- Develop project timelines, task lists, and deadlines for all departments, and track deliverables to ensure timely completion.
- Coordinate with sponsors and exhibitors to fulfill requirements and ensure high-quality service.
- Support the sales team in managing exhibitor and sponsor contracts, payments, documentation, booth allocations, floor plans, and sponsorship packages.
- Assist marketing with campaign execution, ensuring exhibitor and sponsor branding is implemented correctly, coordinating social media, email campaigns, and media partnerships.
- Gather post-event content, feedback, and testimonials from exhibitors and attendees for reporting and improvement purposes.
- Liaise with operations to manage event setup, floor plans, Exhibitor Manual, exhibitor JotForms, and timely delivery of event materials such as badges, signage, and brochures.
- Oversee awards, logo submissions, speaker forms, and other critical deadlines to ensure smooth event operations.
- Act as a single point of contact for internal teams, stakeholders, and third-party vendors to streamline communication and align project deliverables.
- Maintain detailed project trackers, checklists, and status reports to monitor progress and provide updates.
- Prepare post-event reports for management, highlighting key takeaways, areas for improvement, and recommendations for future events.
- Coordinate onsite support during events, including registration, client interactions, and troubleshooting any operational issues.
- Continuously identify opportunities to improve processes, enhance client satisfaction, and optimize sales and event operations.
Requirements
- Bachelor’s degree in Business Administration, Marketing, or a related field.
- 1–3 years of experience in a sales coordination, administrative, or customer service role — preferably in events, exhibitions, or media industries.
- Excellent organizational and multitasking skills with strong attention to detail.
- Proficiency in Microsoft Office Suite and CRM tools (e.g., HubSpot, Zoho, Salesforce).
- Strong written and verbal communication skills.
- Ability to work under pressure and meet tight deadlines.
- Team-oriented, proactive, and adaptable.
- Fluency in English required.
- Willingness to work on weekends or holidays during event schedules.
