1. Compliance & Regulatory Approvals
- Follow up on coordination for SIRA, DCD, Civil Defense, Trakhees, and Municipality approvals.
- Maintain a centralized compliance tracker capturing renewal dates, submission timelines, and approval statuses.
- Conduct periodic internal audits of store compliance documentation to ensure readiness for authority inspection.
- Prepare and submit compliance reports to management summarizing risks, delays, and renewal timelines.
2. Trade License & PRO Coordination
- Collaborate closely with the PROs to monitor, renew, and track all Trade Licenses, Ejari/Tawtheeq, and Municipality permits.
- Support the issuance of new TLs for upcoming launches and ensure the approval sequence is aligned with project timelines.
- Maintain a master tracker integrating TL status, expiry dates, and renewal costs for all operating stores.
- Act as the liaison between the Real Estate, PRO, and Legal teams to ensure documents are in line with company policies.
3. Site Operations & Facilities Management Support
- Manage and resolve on‑ground operational challenges such as parking, offloading, signage approvals, and civil defense inspections.
- Coordinate with the FM team to ensure handover documentation, as‑built drawings, and NOC submissions are completed before opening.
- Support the closure of authority non‑compliance issues raised post‑inspection by coordinating corrective actions.
- Maintain a tracker of open FM/compliance issues and monitor resolution timelines with relevant stakeholders.
4. Legal & Contract Coordination
- Maintain organized digital and physical archives for all authority‑related legal documents (permits, approvals, NOCs).
- Track expiry and renewal timelines for DCD certificates, SIRA permits, and occupancy approvals tied to lease terms.
5. Finance & Reporting
- Prepare budget forecasts for license renewals, authority approvals, and related government fees.
- Coordinate with Azim for FIN creation, cheque processing, and payment tracking of authority fees.
- Reconcile compliance‑related expenses monthly and report variances versus forecast.
- Provide monthly reports to management summarizing compliance health, cost implications, and upcoming renewals.
6. Process Improvement & Governance
- Identify bottlenecks in compliance workflows and propose process improvements for faster turnaround.
- Develop and implement standard operating procedures (SOPs) for authority coordination and documentation management.
- Support the creation of compliance templates (checklists, trackers, audit forms) to standardize the process across Emirates.
- Assist in onboarding new PROs and ensuring alignment with Noon’s compliance framework.
