Job summary

Mohammed bin Rashid School of Government seeks an organized publications coordinator to support editorial content production, manage workflows, and coordinate with editors, authors, designers, and vendors. You will maintain repositories, ensure branding and copyright compliance, and support IP rights management for research outputs.

You will also assist in preparing reports, dashboards, and status updates, while coordinating with departments to fulfill procurement, IT, Communications, and events

Qualifications

  • Bachelor’s degree in a related field.
  • Minimum 2–3 years of experience in publication workflow support, project coordination, administration in an academic, research, or think tanks.

Responsibilities

  • Coordinate publication workflows, following up with authors, translators, designers, editors, and vendors to ensure timely delivery.
  • Support in managing research publications and content contracts with suppliers and service providers.
  • Assist digital publishing activities, including uploading publications to websites and coordinating dissemination materials with Communications.
  • Support development and production of editorial content, photo selection, layout, printing, sponsorship, and vendor selection.
  • Maintain organized repositories of documents, publications, datasets, and project files with version control.
  • Provide basic editorial support: proofreading, formatting, and ensuring template, branding, and copyright compliance.
  • Support management of intellectual property rights for all research publications.
  • Assist day-to-day administrative and operational tasks across the Research Department.
  • Support scheduling, internal communication, meeting organization, and document control (agendas, minutes, action tracking, archiving).
  • Coordinate with Procurement, Finance, IT, Communications, and Events to facilitate departmental requirements.
  • Assist in preparing departmental reports, KPI summaries, progress dashboards, and leadership updates.
  • Support data collection, organization, and verification for research projects and prepare simple tables and charts.
  • Assist in tracking research output performance and measuring impact.
  • Draft and format concept notes, briefs, and project documentation in coordination with researchers.
  • Provide logistical support for research activities, including meetings and events.
  • Collaborate with directors and researchers to ensure regional and international coverage and impact.
  • Assist in managing the department’s media channels in coordination with research professionals.

Key Duties and Responsibility
  • 1. Coordinate of publication workflows, including following up with authors, translators, designers, editors, and vendors to support timely delivery.
  • 2. Support in managing the research publications and content contract relationships that pertain to suppliers and service providers.
  • 3. Support digital publishing activities, including uploading publications to Research Department websites and MBRSG institutional platforms and coordinating dissemination materials with the Communications team.
  • 4. Support in the development and production of editorial content, photo selection, layout, printing, cooperative sponsorship, and vendor selection.
  • 5. Maintain organized and updated repositories of departmental documents, publications, datasets, correspondences, and project files, ensuring proper version control and accessibility.
  • 6. Provide basic editorial support, such as proofreading, formatting, and checking compliance with templates, branding, and copyright statements before final approval.
  • 7. Support the management of intellectual property rights for all MBRSG research publications.
  • 8. Support day-to-day administrative and operational tasks across the Research Department, ensuring smooth workflows, proper documentation, and timely follow-up.
  • 9. Support scheduling, internal communication, meeting organization, and document control, including agendas, minutes, action tracking, and archiving.
  • 10. Coordinate with Procurement, Finance, IT, Communications, and Events to facilitate departmental requirements, including purchase requests, contracts, logistics, and event arrangements.
  • 11. Assist in preparing departmental reports, KPI summaries, progress dashboards, and regular status updates for leadership.
  • 12. Support data collection, organization, and verification tasks for research projects, surveys, and reports, preparing simple tables, charts, and summaries when needed.
  • 13. Assist in tracking research output performance, monitoring key indicators, and compiling basic data to support impact measurement.
  • 14. Assist in drafting and formatting concept notes, briefs, research requests, and project documentation in coordination with researchers and unit heads.
  • 15. Provide logistical and coordination support for research activities, including policy councils, expert meetings, fieldwork logistics, stakeholder communication, and event preparation.
  • 16. Work in collaboration with the Director of Policy Research Department and MBRSG researchers, publishers, research centers, to ensure regional and international coverage in order to maximize exposure and impact.
  • 17. Support in managing the Policy Research Department’s media channels (website, social media, etc.) in coordination with the Director of Research and the relevant research professionals.
  • 18. Collect and analyze quantitative and qualitative data pertaining to the impact of MBRSG’s research output on all dissemination channels, with the objective of measuring and expanding the impact of research on public policy locally, regionally and globally.
Qualifications
