Job Purpose
NOC & Data Admin is responsible for end-to-end management of No Objection Certificate (NOC) processes related to sales, utilities, and auctions.
Roles, Responsibilities, Duties
NOC Issuance & Coordination
- Handle end-to-end issuance of Sales and ADDC/Utilities NOCs via digital and manual channels.
- Ensure all regulatory and community compliance requirements are met before NOC issuance.
- Coordinate with community managers and property management to validate dues, penalties, and property modifications.
- Manage exceptions requiring manual processing for VIP clients, technical issues, or non-integrated communities.
Legal & Auction Support
- Collaborate with Aldar’s Corporate Legal Support team to process court-auctioned units.
- Provide documentation and system data to support recovery efforts through the Abu Dhabi Judicial Department (ADJD).
- Reconcile dues and payments for auctioned units in SAP and other internal systems.
Stakeholder Engagement
- Act as liaison between customer care teams, sellers, buyers, and community managers to ensure efficient sales and ownership transfer processes.
- Attend meetings and manage communications (calls, emails, face-to-face) with clients, brokers, and stakeholders.
- Ensure timely and effective responses to all external and internal inquiries (within 24 hours).
Financial Relocation & Receipting
- Verify and reconcile NOC-related payments, including fees for sales and utility NOCs.
- Coordinate with finance and treasury teams to confirm receipts, resolve discrepancies, and ensure financial compliance.
Data & Information Management
- Ensure accuracy of ownership, service charge, and payment data between other platforms.
- Identify and resolve discrepancies in ownership records and update databases accordingly.
- Maintain manual records of sale prices and completed transactions as required.
System Enhancement & Digitalization
- Support overall strategic directions by liaising between the Executive Director, senior management, and internal teams.
- Provide guidance and coordination among administrative staff.
Documentation & Compliance
- Verify all required documents for NOC issuance, ensuring alignment with internal checklists (e.g., title deed validation, EID/passport, utility clearance, service charge clearance, OA buyer form).
- Maintain accurate, secure digital records of processed NOCs and associated transactions.
Track all pending and completed NOC requests and ensure timely follow-up and resolution.
Qualification
- Bachelor’s degree
- Any additional formal education certificate
Experience and Skills
- 1 to 3 years of admin in real estates of Related fields
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook, Visio).
Strong administrative and organizational skills with high attention to detail.
Proven ability to handle highly confidential matters with discretion.
Able to work independently with minimal supervision.
Excellent time management skills; well-organized and proactive.
