Role Summary
The role holder is responsible for managing large-scale installation projects within OTIS, ensuring efficient execution from planning through to completion. Key responsibilities include:
- Project Management: Oversee the full lifecycle of the projects, ensuring alignment with project timelines and budget
- Program & Resource Planning: Coordinate project planning, manpower allocation, requisition of tools, and logistical requirements to meet project deliverables.
- Installation, T&C Progress & Monitoring: Track and report on-site progress, proactively addressing any delays or issues to ensure timely project delivery.
- Variation Orders: Identify and raise variation orders in response to client-driven changes in project specifications, ensuring proper documentation and approval.
- Compliance: Execute all duties in strict adherence to OTIS business policies, procedures, quality and safety standards
Strategic Responsibilities
- Project Execution Strategy: Develop and implement strategic plans for the successful execution of large-scale installation projects, aligning with organizational goals and client expectations.
- Resource Optimization: Strategically plan and allocate manpower, tools, and lifting equipment to maximize efficiency and minimize project delays or cost overruns.
- Client Relationship Management: Foster strong relationships with clients by proactively managing expectations, addressing changes in project scope, and ensuring high levels of customer satisfaction.
- Risk Management: Identify potential project risks early and implement mitigation strategies to ensure project continuity and safety compliance.
- Continuous Improvement: Drive process improvements by analyzing project performance data, identifying bottlenecks, and recommending enhancements to installation methodologies and resource utilization.
- Stakeholder Alignment: Collaborate with cross‑functional teams, including engineering, procurement, and safety, to ensure alignment on project objectives and deliverables.
- Compliance and Governance: Ensure all project activities adhere to OTIS’s corporate policies, industry standards & code and local regulatory requirements.
Core Responsibilities
- Project Leadership: Lead the project management function by setting clear direction, aligning internal and external stakeholders, proactively managing expectations, and ensuring alignment on project goals, timelines, and deliverables with a well‑structured execution plan from project initiation to final handover.
- Project‑Lifecycle Management: Manage the full project lifecycle—from the initiation of the subcontract agreement through installation to commissioning and final handover—ensuring timely and quality execution.
- Review contract specs and budget; monitor and report any non‑compliance.
- Track project budget versus actual and report potential overruns or re‑estimations.
- Monitor and adjust resources in line with baseline vs actual requirements.
- Design /Engineering / Method Statements Coordination: Collaborate with engineering, factories, and main contractor to prepare and submit layout drawings, RFIs, material samples, mock‑ups, MSRA, ITP, and logistics plans in accordance with contract specifications and tender documents.
- Ensure timely submission and secure necessary approvals to support uninterrupted execution.
- Site Preparation: Coordinate with stakeholders to prepare elevator and escalator shafts as per approved drawings, baseline program, and MSRA.
- Logistics Coordination: Plan and schedule delivery of materials, tools, and equipment in alignment with the baseline program.
- Provide secure, dry, lockable storage areas at sites.
- Oversee hoisting and placement of elevator machines into the lift machine room using the building’s tower crane.
- Material Delivery: Initiate and process RFMs; coordinate EXW dates to avoid delays.
- Work with Supply Chain and Project Logistics for on‑time delivery.
- Raise MIRs and obtain approval upon delivery in line with ITP.
- Installation Progress & Program Updates: Monitor progress and update baseline program.
- Ensure WIRs are raised and approved with QA/QC in line with MSRA and ITP.
- Interior Works: Monitor cabin interiors, landing architraves, and escalator cladding per baseline program.
- Coordinate with ID vendors for timely delivery of materials.
- Testing & Commissioning: Coordinate T&C departments, hiring qualified engineers and adjustors.
- Monitor adjustor availability and avoid delays.
- CTU Elevators: Plan, install, and commission CTU elevators.
- Ensure third‑party inspections and certifications.
- Confirm signed CTU agreements and availability of technicians.
- Manage spares and replacement parts.
- Prepare for final handover and refurbishments.
- Low Voltage Interface Works: Complete and commission LV interface systems, EMS, intercom, and supervisory panels.
- Quality Assurance: Monitor installation teams; submit WIRs and ITP approvals.
- Ensure inspections, rectifications, and final approvals comply with QA/QC procedures.
- Regulatory Compliance: Liaise with authorities for inspections and certifications.
- Deploy adjustors during civil defense inspection.
- Coordinate third‑party inspections upon power completion.
- Service Inspections: Support inspections during and after installation; prepare documentation.
- Schedule inspections and ensure readiness of site conditions.
- Project Closeout: Prepare and submit all closeout documents: as‑built drawings, OM, test certificates, warranties, final reports.
- Coordinate approvals from client, consultant, and authorities.
- Facilitate smooth handover.
- Client Engagement: Engage clients, manage expectations, and guide the team.
- Conduct weekly site walk‑throughs.
- Variation Order Management: Identify changes, initiate VOs, submit costs, and obtain approvals.
- Team Development: Conduct technical training sessions.
- Billing Coordination: Monitor progress for accurate billing.
- Submit documentation for invoicing and revenue recognition.
- Resolve billing queries and ensure financial closure.
- Safety Compliance: Follow OTIS safety protocols; conduct TBT/meetings; perform monthly FPA audits.
- Ensure compliance with OTIS safety procedure and MSRA.
- Secure approval for non‑standard works.
- Reporting: Submit regular project status reports with milestones, risks, and deviations.
- Report material delivery, shaft handover, installation status, and delays.
- Update baseline programs and submit monthly.
- Review weekly MOM from clients.
People Management
- Talent Development: Identify and nurture high‑potential team members.
- Team Supervision: Oversee daily activities, fostering accountability and continuous improvement.
- Coaching & Feedback: Provide regular coaching and informal feedback to enhance performance.
Minimum Qualifications, Experience and Skills
- Minimum Qualifications: Bachelor’s degree in engineering or equivalent.
- Master’s degree in business administration is preferred.
- Professional Certifications: Certifications such as CCM or PMP are preferred.
- Years of Experience: Minimum 10 years of experience with OTIS Highrise installation; total 20+ years overall.
- Nature of Experience: Proven experience managing large‑scale elevator and escalator installation projects, from planning to commissioning and handover.
- Strong background in coordinating multidisciplinary teams.
- Expertise in site execution, resource planning, and technical submissions.
- Language Skills: Fluent written and spoken English; Arabic preferred.
