Job summary

Wood is seeking a Project Controls Admin (UAE National) to join our UAE unit in Dubai for on-site execution of assigned scopes. The role focuses on delivering accurate control of project data, reports, approvals and document workflows within a multinational oil and gas environment.

Ideal candidates have a graduate degree and up to 5 years of relevant experience, with strong Excel skills and fluency in English.

Qualifications

  • Graduate degree or equivalent with emphasis on project controls or engineering
  • 0–5 years of relevant oil & gas or large-scale engineering project experience preferred
  • Proficient in Microsoft Excel and data/manpower reporting

Responsibilities

  • Run Oracle/OTL reports and prepare weekly/monthly timesheets with approvals
  • Coordinate overtime and absence pre-approvals
  • Maintain PO register and issue POs
  • Create projects and booking codes in Oracle (international/OTL/Covero)
  • Prepare PAAFs, route for approvals and archive approvals
  • Review expense claims and coordinate approvals
  • Induct new joiners on timekeeping and expense procedures
  • Provide support to Planners and Cost controllers
  • Raise Material Requisition Forms and route for approvals

Job Objectives:

Contributing to the delivery of Project services excellence through:

  • Executing assigned scopes of work.
  • Supporting and supervising task delegation.
  • Providing discipline expertise to the business.
Key Accountabilities and Responsibilities:
  • Run OTL (Oracle) reports and prepare weekly/ Monthly timesheets and facilitate the relevant approvals.
  • Coordinate overtime/ absence pre-approvals.
  • Issue weekly manhour booking details to the team.
  • Maintain PO register and Document POs issued.
  • Create Projects and booking codes in Oracle international/OTL / Covero.
  • Preparation of PAAFs, route for approvals, archive approved and maintain register.
  • Review expense claims and coordinate the approvals.
  • Provide induction to new joiners on time writing, I expense procedures.
  • Provide support to Planners and Cost controller.
  • Raise Material Requisition Forms and route for approvals.

  • Establish and maintain effective working relationships and communicate across the project/contract interfaces.
  • Engage with inter-discipline community and promote discipline including networking / knowledge sharing.
External:
  • Establishing and / or maintaining an awareness of external stakeholders including industry bodies, academia, vendors, client interface (as appropriate and requested).
Level of Influence and Decision-Making Authority:

As delegated by Line Manager in accordance with competency assessment

Expected:
  • Graduate Degree
  • Minimum of 0 to 5 years’ relevant experience in the oil and gas industry
  • Experience of working with multi-national and multi-cultural project teams is strongly preferred
  • Proficient in Microsoft Excel
Role-Specific Skills:
  • Previous Oil & Gaus industry experience.
  • Experience with detailed Engineering and Consultancies
