"Project Controller - Marine Engineering"

We’re looking for an organised and proactive Project Controller / Administrator to join our clients busy administration team in the Middle East (Abu Dhabi). This is a key role within the shared services function, working closely with the Administration and Operations Teams to make sure projects are set up, managed and closed out efficiently, and that all work is fully compliant with company policies and best practice.

Our client in this instance, are heavily involved in Maritime Operations and other Marine Engineering services across the ME region - so anyone with any previous experience in a similar fields would be highly desirable.

Main Duties and Responsibilities
Project Support
  • Set up new projects in line with requests from Project Managers and shared services procedures.
  • Monitor the project support ticketing system to make sure requests are handled promptly and in line with company policies.
  • Maintain up-to-date project schedules, tracking deadlines, milestones and deliverables.
  • Ensure invoices are raised promptly upon project completion.
  • Manage intercompany purchase orders and invoice processing.
  • Maintain accurate customer and supplier master data, including credit checks where required.
  • Support project closure activities, including financial reconciliation and document archiving.
Financial Administration
  • Receive, verify and process supplier invoices in NetSuite for approval and payment.
  • Reconcile supplier statements and resolve discrepancies or invoice queries.
  • Respond to supplier enquiries and resolve payment-related issues in a timely manner.
  • Support internal and external audits related to project financials.
  • Act as a NetSuite superuser for the Project module, assisting colleagues with training and troubleshooting.
  • Provide administrative and financial support to the Regional Controller and Finance/Accounting Manager.
Communication and Collaboration
  • Attend project meetings and provide updates or insights to support effective decision-making.
  • Act as a bridge between project teams, finance, and other departments to ensure smooth coordination and communication.
  • Provide ad hoc administrative support to help the wider team meet operational goals.
Skills, Knowledge and Experience
  • Bachelor’s degree or equivalent relevant experience.
  • Previous experience in project administration, project control, or a similar support role.
  • Strong attention to detail with a focus on accuracy and consistency.
  • Confident self-starter with a proactive and positive attitude.
  • Excellent time management and problem-solving skills.
  • Strong financial awareness and understanding of project cost control.
  • Good working knowledge of ERP systems (NetSuite or similar).
  • Excellent written and verbal communication skills in English.
  • Experience working in an international or multi-cultural environment, ideally within the UAE or GCC region.
