As Project Assistant you support the Head of Operations as a strategic and execution partner. You’ll help plan and track key initiatives, build structured presentations and reports, map and improve processes, and ensure priorities move forward without constant direction. You will manage critical communication, calendars, and follow-ups, acting as an extension of leadership to bring clarity, organization, and efficiency. This role suits someone who thinks ahead, structures information well, and enjoys turning messy input into clean, actionable output.
Project & Operational Support
- Support planning and execution of key initiatives across the operations function
- Track project progress, milestones, risks, and follow-up
- Map, document, and improve core business processes
- Prepare structured updates, reports, and briefing materials for leadership
Executive Support
- Manage the Head of Operations’ calendar, communication priorities, and follow-ups
- Draft professional emails, internal communication, and action summaries
- Prepare presentation decks and reports for internal and external stakeholders
- Support with key administrative approvals and documentation as required
Information & Workflow Management
- Maintain organized documentation, SOPs, and project trackers
- Liaise across departments to ensure information flow and alignment
- Identify inefficiencies and support development of streamlined ways of working
Requirements
- Bachelor’s degree in business, operations, management, or a related field
- 2–4 years of experience in business support, project coordination, operations, or executive support
- Strong communication and writing skills, with ability to create clear and concise presentations and reports
- Proficiency in Microsoft Office / Google Workspace (especially Excel/Sheets & PowerPoint/Slides)
- Familiarity with project or workflow tools (Asana, Trello, Miro, Lucid chart or similar)
- High attention to detail, strong organization, and the ability to prioritize under time pressure
- Proactive, resourceful, and able to take initiative without constant direction
- Demonstrates maturity, discretion, and professional judgement
