Job summary

A leading firm in Abu Dhabi is seeking an experienced Administrative Support professional to manage the CFO’s calendar, prepare financial documents, and coordinate meetings. The ideal candidate will have a Bachelor’s degree in Business Administration or Finance and at least 5 years of experience supporting senior executives. Strong organizational skills, discretion, and proficiency in MS Office are essential. This role offers a dynamic work environment and requires excellent communication skills.

Qualifications

  • Ability to manage the CFO's calendar and schedule efficiently.

Job description
Administrative Support
  • Manage and maintain the CFO’s calendar, schedule meetings, and coordinate appointments.
  • Organize and prioritize emails, calls, and correspondence on behalf of the CFO.
  • Prepare and edit reports, presentations, memos, and other financial documents.
  • Maintain an efficient filing system (both electronic and physical) for financial and administrative records.
Meeting & Event Coordination
  • Arrange internal and external meetings, including agenda preparation and minute-taking.
  • Ensure all necessary documents and materials are prepared in advance for meetings.
  • Coordinate travel arrangements, including flights, accommodations, visas, and itineraries.
Confidentiality & Financial Support
  • Handle sensitive financial and business information with the highest level of confidentiality.
  • Assist in preparing financial reports, budgeting documents, and expense tracking.
  • Liaise with finance teams and external stakeholders as required.
Communication & Liaison
  • Act as the point of contact between the CFO and internal/external stakeholders.
  • Draft, review, and proofread emails, contracts, and official correspondence.
  • Ensure smooth communication and coordination across departments.
Office & Task Management
  • Manage special projects and ad‑hoc tasks as assigned by the CFO.
  • Monitor deadlines and follow up on pending actions.
  • Support in organizing financial conferences, corporate events, and investor meetings.
Skills

Education: Bachelor’s degree in Business Administration, Finance, or a related field.

Experience: Minimum of 5 years of experience as a Personal Assistant, Executive Assistant, or in a similar role supporting senior executives.

Strong organizational and multitasking abilities.

Excellent verbal and written communication skills.

High level of discretion and confidentiality.

Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).

Ability to work under pressure and meet tight deadlines.
