The Role

Position Overview Our client is a market leading firm, providing fiduciary, restructuring, trustee, fund administration, economic substance, and registered office and agent services based out of DIFC. They are seeking a highly organized, polished, and proactive Personal Assistant to provide dedicated support to the CEO and two Senior Managers. This pivotal role combines executive assistance, office coordination, and front-of-house responsibilities to ensure the smooth and efficient operation of the leadership team and the wider office. The ideal candidate will bring strong organizational skills, impeccable attention to detail, and exceptional communication abilities, with a background in financial or corporate services considered a significant advantage.

Key Responsibilities
Executive Support & Email Management
  • Proactively manage and prioritize the CEO’s email inbox, ensuring timely responses, flagging priorities, and drafting replies when appropriate.
  • Organize and maintain the CEO’s calendar, coordinating meetings, calls, and appointments efficiently.
Reception & Front-Office Duties
  • Act as the first point of contact for visitors and incoming calls, providing a professional, welcoming, and polished front-of-house presence.
  • Manage incoming and outgoing correspondence, deliveries, and general office communication.
Travel & Logistics Coordination
  • Plan and coordinate comprehensive travel arrangements for the CEO and senior managers, including flights, accommodation, ground transportation, visas, and itineraries.
  • Ensure all travel documentation and schedules are accurate, organized, and delivered in a timely manner.
Expenses & Administration
  • Process, track, and reconcile expense claims for all members of the senior management team.
  • Maintain accurate records of travel, entertainment, and office-related expenses.
Office Management
  • Oversee the smooth day-to-day running of the office, including supplies, facilities, service providers, and general maintenance.
  • Support internal communications and help maintain a professional and organized working environment.
Market Research & Business Support
  • Conduct research and compile reports to support executive decision-making.
  • Assist with the preparation of presentations, documents, and briefing materials as required.
Requirements
  • Minimum 3–5 years’ experience in a Personal Assistant or Executive Assistant role supporting senior leadership.
  • Background in financial or corporate services is highly desirable.
  • English as a first language will be highly regarded or to an impeccable professional standard if a second language.
  • Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
  • Proven ability to handle sensitive and confidential information with absolute discretion.
  • Previous experience in a fast-paced, professional office environment in the UAE is an advantage.
