A recruitment services company in the United Arab Emirates is seeking an experienced Office Manager - Executive Assistant. This role involves managing daily office activities, providing executive support, and ensuring smooth communication across departments. The ideal candidate will have at least 10 years of experience in HR/recruitment and a bachelor's degree in Business Administration, along with strong organizational skills and fluency in Arabic and English.

Qualifications

  • 10 years of experience in Human resources, recruitment, and managerial position.
  • Knowledge of UAE labor laws and regulations is preferred.

Responsibilities

  • Manage the daily activities of the office including scheduling and organizing meetings.
  • Act as first point of contact for visitors and calls.
  • Provide executive support including managing calendars and arranging travel.
  • Coordinate with departments for smooth communication and workflow.
  • Prepare and distribute internal communications.
  • Maintain and update company databases.
  • Oversee office space maintenance.
  • Handle confidential information with discretion.
  • Assist with special projects and events.

Job Description:

We are seeking a highly organized and proactive individual to join our team as an Office Manager - Executive Assistant. In this role, you will be responsible for managing the day-to-day operations of the office while providing executive support to our senior management team.

Responsibilities:

  • Manage and coordinate the daily activities of the office, including scheduling appointments, organizing meetings, and maintaining office supplies
  • Act as the first point of contact for all visitors and calls, providing a professional and welcoming experience
  • Provide executive support to the senior management team, including managing their calendars, arranging travel, and preparing documents and presentations
  • Coordinate with various departments to ensure smooth communication and workflow
  • Prepare and distribute internal communications, such as memos and newsletters
  • Maintain and update company databases and records
  • Oversee the maintenance and upkeep of the office space
  • Handle confidential and sensitive information with discretion and professionalism
  • Assist with special projects and events as needed

Requirements:

  • Bachelor's degree in Business Administration or a related field
  • Min. 10 years Experiences in Human resource, recruitment company, and managerial position
  • ️️ fluent in Arabic and English ( written, read and speak)
  • Having background in HR, Business development/ business partner
  • Excellent organizational and time-management skills
  • Strong communication and interpersonal skills
  • Proficient in Microsoft Office and other relevant software
  • Ability to handle multiple tasks and prioritize effectively
  • Proactive and able to anticipate needs and take initiative
  • Knowledge of UAE labor laws and regulations is preferred
