UAEN – Junior Admin Assistant

Location: Expo – Dubai

In coordination with stakeholders:

  • ISP Middle East Regional Team
  • School Leadership Teams, Principals, and other relevant stakeholders across the regional school network
  • Third-party vendors and service provider

Reporting Line: Regional Office Manager

Role context

The Junior Admin Assistant will provide essential administrative and logistical support to the ISP Middle East Regional Office, ensuring smooth coordination across departments and efficient delivery of daily operations.

This role is central to maintaining the professional, caring, and responsive environment that supports the wider ISP network and contributes to the effective delivery of our Amazing Learning message.

The postholder will report directly to the Regional Office Manager and will work closely with the wider ISP Middle East team to support functions such as travel arrangements, meeting coordination, communication drafting, and administrative support to the HR team. They will be expected to build strong working relationships with regional colleagues, school teams, and external vendors to perform their duties effectively in the ISP regional office.

Key Responsibilities
  1. Provide day-to-day administrative support to the Regional Office Manager and regional office team.
  2. Manage calendar bookings, organise meetings, and prepare agendas and minutes when required.
  3. Assist with travel logistics including booking flights, hotels, transport, and conference arrangements.
  4. Draft professional correspondence including letters, internal messages, memos, and emails.
  5. Support HR administrative tasks such as maintaining staff trackers, updating files, and coordinating document submissions.
  6. Help organise regional events, workshops, and leadership meetings (e.g., venue setup, catering coordination, guest support).
  7. Maintain digital and physical filing systems, ensuring easy access and confidentiality of documents.
  8. Monitor and manage general office supplies, vendor coordination, and office maintenance needs.
  9. Act as a friendly and professional point of contact for internal and external inquiries.
Other Responsibilities
  • Undertake such other reasonable responsibilities and tasks that may be assigned by the Regional Office Manager, Regional HR Director, or the International Schools Partnership.
