As part of our growing operations in the UAE, we are seeking a detail‑oriented HR Assistant to support daily HR functions — including visa and onboarding processes, payroll administration, attendance tracking, overtime management, and employee record maintenance in compliance with UAE Labour Law and free zone regulations.

Position Overview

The HR Assistant provides administrative and operational support to the HR Department and ensures all HR processes are carried out efficiently, legally, and in line with company policy. This role requires solid knowledge of UAE labour law, payroll processing, and hands‑on experience with visa and freezone procedures.

Key Responsibilities
Employee Administration & HR Operations
  • Maintain accurate employee files (digital and physical) including contracts, passports, visas, and personal data.
  • Track probation periods, contract renewals, and end‑of‑service benefits.
  • Handle employee requests and HR‑related queries promptly and confidentially.
  • Prepare HR letters such as salary certificates, NOCs, and experience letters.
Visa & Freezone Coordination
  • Manage all visa‑related processes (employment visa, Emirates ID, medical, renewals, cancellations).
  • Maintain up‑to‑date visa and passport tracking sheet to ensure timely renewals.
  • Assist in company license renewals, establishment cards, and insurance documentation with the PROs.
Payroll & Overtime Calculation
  • Prepare monthly payroll with the HR manager in coordination with the Finance department.
  • Calculate overtime hours, deductions, and allowances based on attendance records.
  • Maintain and update attendance logs and biometric data.
  • Process gratuity and end‑of‑service settlements according to UAE Labour Law.
  • Ensure compliance with WPS (Wage Protection System) requirements.
Recruitment & Onboarding
  • Assist in posting job advertisements and coordinating interviews.
  • Prepare offer letters and employment contracts.
  • Coordinate onboarding procedures — orientation, ID cards, uniform issuance, and system access.
  • Update HR database with new hires and departures.
Labour Law & Compliance
  • Ensure HR practices align with UAE Labour Law and Freezone rules.
  • Keep updated with changes in employment legislation.
  • Support HR Manager in implementing company policies and disciplinary procedures.
  • Maintain confidentiality and integrity in all HR‑related matters.
Reporting & Systems
  • Maintain HR reports for headcount, leave balance, overtime, and turnover.
  • Support audits by ensuring all HR files and employee data are complete and up to date.
  • Assist in implementing digital HR systems and data entry accuracy.
Qualifications & Skills
  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • 2–5 years of HR experience in the UAE, ideally within a freezone or manufacturing/shipyard environment.
  • Good knowledge of UAE Labour Law and RAKEZ regulations.
  • Proficient in MS Excel (for payroll, overtime, attendance sheets).
  • Familiar with Odoo, SAP, or similar HR/payroll systems is a plus.
  • Fluent in English; Arabic is an advantage.
  • Strong communication and organizational skills.
  • High level of accuracy, discretion, and attention to detail.
