Job summary

Mammoet UAE is seeking an UAE Facility Specialist to oversee multiple offices and project accommodations across the UAE, ensuring safe, compliant and efficient workplaces.

You will lead facility operations, maintenance, procurement and employee support to sustain continuity on major projects, while managing vendor performance and ensuring regulatory compliance.

Qualifications

• Bachelor's degree in a relevant discipline as listed.
• Minimum 5 years of experience in Facility Management, Office Administration, Property Management, or Project Administration.
• UAE experience is highly desirable and preferable.

Responsibilities

• Manage day-to-day operations of all company offices and facilities across the UAE.
• Coordinate preventive and corrective maintenance, vendor relations, and workplace infrastructure.
• Oversee accommodation arrangements for project personnel and room allocations.

SUMMARY OF THE ROLE

UAE Facility Specialist | Join the Global Leader in Heavy Lifting & Transportation

Location: Dubai, UAE

Responsible for managing company offices, project accommodations, and facility services across the UAE to ensure safe, compliant, and efficient workplaces. The role oversees facility operations, vendor performance, maintenance, procurement, and employee support while ensuring business continuity and compliance with company standards and UAE regulations.

WHAT YOU’LL BE DOING

Facility & Office Management:

• Manage the day-to-day operations of all company offices and facilities across the UAE.
• Ensure facilities are maintained in a safe, clean, secure, and operational condition.
• Coordinate preventive and corrective maintenance activities for buildings, utilities, office equipment, and workplace infrastructure.
• Monitor workplace utilization and recommend improvements to maximize operational efficiency.
• Coordinate office moves, renovations, expansions, and workspace planning.

Vendor & Contract Management:

• Manage relationships with facility management service providers, landlords, accommodation providers, transport vendors, cleaning contractors, maintenance contractors, and other suppliers.
• Monitor vendor performance against contractual obligations and agreed service levels.
• Coordinate tendering, contract renewals, and vendor evaluations.
• Ensure contractor compliance with company HSE requirements and contractual obligations.

Project Accommodation Management:

• Manage accommodation arrangements with project managers for project personnel throughout the project lifecycle.
• Ensure accommodation facilities comply with company standards, UAE regulations, client requirements, and HSE expectations.
• Coordinate room allocations, mobilization, demobilization, and occupancy planning.
• Conduct periodic inspections of accommodation facilities and ensure timely corrective actions are implemented.

Procurement & Asset Management:

• Coordinate procurement of facility-related goods and services in accordance with company procurement procedures.
• Manage facility budgets and monitor operational expenditures.
• Maintain inventory records for office furniture, equipment, and facility assets.
• Support fixed asset management, replacements, and disposal processes.

Employee Support & Workplace Services

• Serve as the primary point of contact for facility-related requests, workplace issues, and accommodation enquiries.
• Coordinate timely resolution of maintenance requests and employee concerns.
• Ensure workplace services contribute to a positive employee experience.

Compliance, HSE & Site Inspections

• Conduct regular inspections of offices and project accommodations to verify compliance with company standards and UAE regulatory requirements.
• Ensure compliance with health, safety, environmental, and security requirements.
• Support emergency preparedness, evacuation planning, and business continuity initiatives.
• Coordinate corrective actions arising from inspections and audits.

Administration & Reporting

• Maintain accurate records of facility contracts, maintenance schedules, inspections, accommodation occupancy, and vendor documentation.
• Prepare periodic reports covering facility performance, accommodation utilization, vendor KPIs, costs, and improvement initiatives.
• Maintain facility-related documentation in accordance with company document control procedures.

Continuous Improvement

• Identify opportunities to improve facility operations, reduce operating costs, and enhance workplace efficiency.
• Implement best practices in facility management and sustainability where appropriate.
• Support digitalization and process improvement initiatives relating to facility management.

WHAT YOU’LL NEED

Qualifications:

Bachelor's Degree in Facilities Management, Business Administration, Engineering, Operations Management, Hospitality Management, or related discipline.

Experience:

Minimum 5 years' experience in Facility Management, Office Administration, Property Management, or Project Administration.

• Experience managing multiple office locations and project accommodation facilities.
• Experience within construction, engineering, logistics, industrial, or project-based environments is preferred.
• UAE experience is highly desirable.
