Job summary

A leading medical technology company in Dubai is seeking an experienced Executive Assistant to provide comprehensive support to its Vice President. This role includes managing correspondence, organizing meetings, and preparing presentations. The ideal candidate will have at least 5 years of experience, exceptional communication, and advanced Microsoft Office skills. This position offers an opportunity for hybrid flexibility.

Responsibilities

  • Provide daily confidential support to Vice President.
  • Manage diary emails and travel arrangements.
  • Collaborate with stakeholders on the newsletter content.
  • Support in organizing town hall meetings.
  • Minute important meetings and prepare PowerPoint presentations.
  • Manage compliance paperwork and budget lists.
  • Complete monthly expense reports.

Work Flexibility :

What You Will Do :
  • Provide daily confidential support to Vice President.
  • Manage Diary emails flagging with urgent action and bookings of Vice President as well as travel arrangements.
  • Collaborate with different stakeholders to collect the input for the newsletter and define the content.
  • Manage other email channels like Marketo for communication campaigns.
  • Support the VP & GM in setting up the town hall either live or virtually and drive the communication.
  • Attend and minute important meetings type up plans and communicate with direct reports and prepare advanced PowerPoint presentations coordinate key events.
  • Updating budget lists and management of compliance paperwork filing and documenting.
  • Complete monthly expense report for Vice President also ensuring that financial procedures are followed in relation to purchase orders etc.
What You Need
  • Educational degree in a relevant field
  • At least 5 years of experience in a similar position
  • Advanced skills in Microsoft Office especially PowerPoint
  • Touch typing and audio typing to 80 words per minute
  • Excellent communication skills
  • Strong organizational skills
  • Time Management skills
  • Ability to work independently

Travel Percentage : 20
