Job description
Role Overview

A Document Controller in OTIS plays a critical role in managing, organizing and maintaining all project-related documentation. This position ensures that all documents are systematically filed, easily accessible and up-to-date, supporting the project team in executing construction projects efficiently and effectively.

Key Responsibilities
  • Document Management: Oversee the lifecycle of documents, including creation, review, approval, distribution and archiving, ensuring compliance with industry standards and company policies.
  • Quality Assurance: Ensure all documentation is accurate, complete and meets the required quality standards before submission or distribution.
  • Project Coordination: Collaborate with project managers, engineers, architects and other stakeholders to gather necessary documentation and ensure smooth communication across teams.
  • Version Control: Maintain version control and track changes to documents, ensuring the most recent and relevant information is accessible to the team.
  • Security and Confidentiality: Implement security measures to protect sensitive information and ensure confidentiality is maintained throughout the documentation process.
  • Software Utilization: Utilize document management software and systems to facilitate efficient document handling and retrieval.
  • Training and Support: Provide training and support to team members on document control processes and systems, ensuring everyone is equipped to manage documentation effectively.
On a typical day you will:
  • Prepare and maintain incoming and outgoing logs for non-standard projects.
  • Support the Engineering team for sample board submissions.
  • Submit all engineering documents to the contractor.
  • Co‑ordinate with Engineering team for any incoming responses/letter.
  • Prepare and submit engineering documents to the projects (drawings, materials, RFIs, method statements, WIRs, etc.).
  • Submit the ex‑Works letters for non‑standard projects.
  • Document backup in SharePoint.
  • Any miscellaneous documentation works.
What You Will Need to be Successful:
  • Associate degree in Business Administration/Management or equivalent.
  • Relevant certification such as DCC Certified Document Controller (CDC) or equivalent.
  • Minimum of 8‑10 years of relevant experience in documenting procedures and handling confidential information for large‑scale projects.
