Qualifications

Responsibilities

  • Support the Project Director by managing the project calendar and scheduling meetings.
  • Coordinate travel arrangements for the project team.
  • Facilitate payment requests processing.
  • Organize official project documentation according to standards.
  • Ensure accurate record-keeping for the project team.
  • Manage petty cash transactions and maintain expense records.
  • Apply for No Objection Certificates (NOCs) and ensure compliance.
  • Attend project meetings, take minutes, and distribute them.
  • Follow up on action items from meetings.
  • Act as a liaison between departments.
  • Maintain a document control system.
  • Provide additional administrative support.

Job Objective

The Document Controller is responsible for the effective and organized management of all documentation, communications, and administrative processes related to OMNIYAT development projects. This role supports the Project Director in coordinating project activities, ensuring that records are accurate and easily accessible, and facilitating communication across departments to ensure project milestones and deadlines are achieved.

Roles and responsibilities
  • Support the Project Director by managing the project calendar and scheduling meetings, milestones, and deadlines.
  • Coordinate travel arrangements for the Project Director and project team in collaboration with Admin and Finance.
  • Facilitate timely processing of payment requests between Quantity Surveyor, Finance, and banks.
  • Organize and maintain official project documentation according to company standards.
  • Ensure accurate and accessible record-keeping for the project team.
  • Manage petty cash transactions and maintain accurate expense records.
  • Apply for necessary No Objection Certificates (NOCs) and ensure regulatory compliance.
  • Attend project meetings, take detailed minutes, and distribute them to stakeholders.
  • Follow up on action items from meetings to ensure timely completion.
  • Act as a liaison between departments to facilitate smooth communication and information flow.
  • Maintain an efficient document control system to track project documents and updates.
  • Provide additional administrative support, including managing correspondence and handling queries.
Required Experience and Skills
  • 1-2 years of experience as Document controller in Real Estate Development company or Construction company.
  • Time Management, Planning and Organizing, Communication Skills, and Follow-up skills.
  • Basic Knowledge of Development Drawings, MS Office, Experience using Oracle and Aconex
