Overview

The Conference Coordinator role is essential for the successful delivery of dmg’s world-class conferences and a key first step on the dmg Conference Production and Management career path. The Conference Coordinator assists with the organisation, maintenance and completion of key administrative and logistical tasks that form the core of Conference Production work. Their contributions allow the Conference Production team to focus on quality, scope, commercial appeal and timely delivery, and to ensure speakers receive a high-standard end-to-end experience—from onboarding through to marketing collateral, campaigns, and on-site at dmg’s events.

The Conference Coordinator collaborates with the Conference Production team, Marketing Managers, designers, Web teams and IT, as well as externally with Speakers, their Communications teams and third-party service providers. They represent an important information conduit between internal departments and serve as a key point of contact for speakers and their representatives.

The role offers valuable experience and exposure to core Production tasks, processes and systems, as well as dmg’s brands, products, markets and company structure, providing a comprehensive start in Conference Production and Management.

Key Accountabilities
  • Production Administration
  • Assisting the Producer with setting up, overseeing and reporting on Technical Conference campaigns in CMP system.
  • Becoming a key point of contact for Strategic and Technical Speakers to handle the bulk of incoming questions related to administration (not content or speaker placement).
  • Assisting with key production administration tasks.
  • Inputting speaker campaigns into Salesforce.
Marketing and Design Related Tasks
  • Website maintenance of Conference/Speaker pages.
  • Brochure, EDM and social media banner checks and edits.
  • Speaker amplification and promotions.
Pre-Event and On-Site Conference Delivery
  • Overseeing speaker consent form campaigns.
  • Coordinating speaker badge/registration process with the registration team.
  • On-site theatre/Speaker Lounge management.
Qualifications, Experience, & Skills
  • Organised, motivated and knowledgeable about operating internal systems, applying efficient and effective processes and maintaining highly professional and timely communications with external clients and speakers.
  • Skills and Behavioural Competencies
  • Excellent data processing and information gathering abilities.
  • Professional communication skills, both written and verbal.
  • Self-disciplined and able to work both independently and as part of a team.

  • Any Indian and Asian related language skills are desirable.
