Position Overview
The Administrative Officer is responsible for providing comprehensive administrative and logistical support to ensure the smooth operation of the project site, office, and workforce. This role includes coordinating documentation, managing logistics, supporting HR and procurement functions, and ensuring compliance with company and project policies within the Oil & Gas sector.
Key Responsibilities
General Administration
- Manage daily office and site administrative activities, ensuring smooth workflow.
- Maintain and update all project-related documentation, records, and correspondence.
- Prepare and process administrative reports, memos, purchase requests, and timesheets.
- Support management in implementing company policies and procedures at the project site.
- Handle filing systems (manual and electronic) for project documentation, staff records, and logistics.
Personnel & HR Coordination
- Assist in onboarding new employees, including mobilization, accommodation, and induction arrangements.
- Coordinate with HR for visa processing, renewals, and employee documentation.
- Maintain attendance, leave, and overtime records for site personnel.
- Act as a liaison between the HR department and site management on personnel matters.
Logistics & Support
- Arrange travel, transport, and accommodation for staff and visitors (including offshore mobilization).
- Oversee procurement and distribution of office and site supplies.
- Coordinate with logistics for equipment delivery, materials tracking, and shipping documentation.
- Support fleet management (vehicles, fuel, maintenance scheduling).
Health, Safety & Environment (HSE) Support
- Ensure administrative compliance with HSE procedures and documentation.
- Support site management in coordinating safety inductions and maintaining HSE records.
- Liaise with HSE team for permits, audits, and inspections when required.
Communication & Coordination
- Act as a focal point for communication between site and head office.
- Draft and manage correspondence, reports, and meeting minutes.
- Support management in organizing internal and external meetings, events, and audits.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, or equivalent.
- 3–7 years of experience in administrative roles, preferably in Oil & Gas / EPC / Construction industries.
- Strong knowledge of site administration, logistics, and HR coordination in oilfield environments.
- Familiarity with project documentation systems, procurement processes, and manpower mobilization.
- Excellent communication (English), organizational, and multitasking skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and ERP systems.
