Job description
Overview

A water management coordinator is responsible for planning, organizing, and overseeing water resource projects, often developing regional management plans and ensuring sustainable water use. This role strategically collaborates with stakeholders, managing projects, addressing water quality and supply, and considering environmental impacts. Manage procurement, sourcing, and administrative functions for multiple projects, ensuring cost-effectiveness and timely execution. Collaborate with agronomists, contractors, and suppliers to align technical solutions with operational needs. Maintain comprehensive documentation, including design specifications, project reports, and compliance records.

Major duties & responsibilities

Invoicing

  • Negotiate with suppliers regarding pricing, delivery timelines, availability, and quality standards.
  • Expedite orders to meet project shipping deadlines.
  • Provide recommendations on supplier quotes and assist with quote finalization.

Receiving and shipping

  • Ensure all incoming orders align with the project bill of materials and meet required standards.
  • Coordinate, pack, and verify shipments destined for agents and customers.
  • Oversee packaging processes in accordance with Valmont standards to minimize breakages.
  • Participate in stock counts and reconcile physical inventory with the ERP system.
  • Maintain housekeeping standards in the ancillary store area.

Exporting

  • Arrange and prepare all necessary export documentation.
  • Coordinate transportation logistics for export shipments.
  • Supply clients and dealers with ancillary orders as required.

Project costing

  • Perform costing and invoicing for ancillary-related projects.
  • Calculate monthly ancillary provisions to support financial planning.

Purchasing and transportation

  • Prepare quotes and estimate lead times in collaboration with TSMs for clients and dealers.
  • Estimate transport and volumetric space requirements for inland and cross-border shipments.
  • Negotiate transport pricing and lead time agreements with service providers.
  • Track shipments in transit and proactively update clients and dealers.

Additional aligned responsibilities

  • Process and manage ancillary repair and warranty claims.
  • Request and prepare shipment documentation for SARS upon request.
  • Calculate and prepare monthly ancillary invoicing forecasts.
  • Collaborate with the Sales Team to achieve sales targets.
  • Identify and resolve ERP system errors related to ancillary parts, pricing, and descriptions.
  • Arrange and provide necessary client documentation and feedback.

Independence: Reporting to Supply Chain Manager – Valley Irrigation of Southern Africa; Operating with broad objectives and with independent choice of methods in line with the division’s mission statement.

Supervisory responsibilities: Water Management Project & Sourcing Administrator

Minimum qualifications

Education level: A Bachelors degree in Engineering (Electrical or Mechanical), Supply Chain Management, Logistics, or a related field. Candidates with equivalent experience in supply chain operations, project logistics, or technical procurement will also be considered.

Experience: A minimum of 5 years experience within the agricultural industry, with a strong emphasis on technical product knowledge, particularly relating to irrigation systems, water management components, or related engineering solutions.

Specific knowledge, skill, ability, and requirements: The candidate must be fluent and conversational in both English and Afrikaans. Proven ability to deliver results under pressure, meet strict deadlines, and manage conflict effectively. Strong analytical thinking, with excellent negotiation, verbal, and written communication skills. Proficiency in Microsoft Office applications, including Excel, PowerPoint, Teams, and related tools.
