Overview

We're looking for an Executive Assistant to join our growing team at HELM ( www.helm.ceo )! You'll be working with our client in the Education Industry in a remote capacity.

In this role, you will support a fast-paced executive by managing their inbox, drafting communications, and tracking project goals to ensure accountability. You’ll coordinate meetings, assist with seasonal grant reviews, and support event planning. The ideal candidate is a proactive, highly organised individual with fluent English, strong problem-solving skills, and the ability to handle sensitive information with discretion.

Responsibilities
  • Inbox and Communication Management: Manage the executive’s inbox with AI tools, draft professional emails, and prepare weekly team announcements.
  • Goal and Project Tracking: Monitor project roadmaps, track goals, and flag updates for monthly leadership calls.
  • Calendar and Meeting Coordination: Schedule meetings, prepare agendas, conduct market research, and follow up on action items.
  • Seasonal Grant Reviews: Assist with reviewing and organizing grant documentation during peak seasons.
  • Event Management: Support logistics for 2 major and a handful of smaller annual events.
  • Administrative Support and Confidentiality: Organize files, manage databases, handle ad-hoc tasks, and maintain sensitive information with trust and confidentiality.
Requirements and Qualifications
  • 3+ years of experience as an Executive Assistant or similar role.
  • Fluent in written and verbal English, with strong proofreading skills.
  • Proactive, solution-oriented mindset with strong organizational skills and attention to detail.
  • Ability to thrive in a fast-paced environment with a high workload.
  • Proficiency with Microsoft Office, Google Workspace, and project management tools.
  • Ability to multitask, prioritize, and maintain confidentiality.
  • Experience with market research, inbox management, or event coordination.
Location

Fully remote (contractor basis)

Weekly Hours: 20 hours per week to start, with potential to increase to 40 hours, within 9am - 5pm EST

Pay Range: $10 - $14 per hour to start, depending on experience

Equipment: BYO devices (we provide necessary software)
