Job Summary

We are seeking a highly organized and proactive Virtual Administrative Assistant to join our team on a full‑time permanent basis in South Africa, working remotely. You will provide essential administrative support to our team and clients, ensuring efficient operations and exceptional service delivery. Key Responsibilities
  • Manage calendars, schedule meetings, and coordinate appointments across multiple time zones.
  • Handle professional email correspondence, including drafting, responding to, and prioritizing communications.
  • Perform data entry, maintain accurate records, and update databases or CRM systems (e.g. Zoho, Salesforce).
  • Prepare and format documents, reports and presentations using Microsoft Office or Google Workspace.
  • Assist with basic bookkeeping tasks such as expense tracking or invoice preparation, if required.
  • Organize virtual meetings via platforms like Zoom, Microsoft Teams or Google Meet, including minute‑taking.
  • Conduct research and compile information to support team projects or client needs.
  • Ensure compliance with South Africa’s Protection of Personal Information Act (POPIA) when handling sensitive data.
  • Provide excellent customer service addressing client and team inquiries promptly and professionally.
  • Support ad‑hoc administrative tasks to enhance team productivity.
Qualifications
  • National Senior Certificate (Matric) or equivalent; a tertiary qualification (e.g. Diploma or Certificate in Office Administration, Business Management or related field) from a recognised South African institution is preferred.
  • 0‑2 years of administrative experience (including internships, freelance or part‑time roles).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
  • Familiarity with scheduling tools (e.g. Calendly, Doodle) or CRM platforms is an advantage.
  • Excellent written and verbal communication skills in English; proficiency in additional South African languages (e.g. Afrikaans, isiXhosa) is a plus.
  • Strong organisational skills with a keen eye for detail and accuracy.
  • Ability to work independently in a remote setting with excellent time‑management skills.
  • Reliable high‑speed internet connection and a professional home office setup.
  • South African citizenship or valid work permit.
  • Basic understanding of South African data protection regulations (e.g. POPIA) is beneficial.
