We are seeking a Transport Planner to support the Management Team with the day‑to‑day operation of the Transport Department responsible for a group of operators and ensuring an efficient Transport operation in achieving business targets. Provide line management to the assigned group coordinating their workloads, providing support to ensure that the team delivers monitoring any issues and ensuring operational targets, KPIs and quality standards are met to meet the requirements of the customer.

Key Responsibilities
- Daily operations management
- Daily planning of next day operations
- Management of vehicle bookings and customer order planning
- Dispatch procedure
- Delivery procedure
- Debrief procedure
- System application and maintenance (TMS) and other systems used for dispatch or tracking daily operations and results
- Investigating process breach and providing a detailed report; ownership of daily load planner (follow up with transport service provider for fleet numbers, ETAs and driver details)
- Ensuring smooth functioning of daily operations and any tasks and instructions assigned by a superior
Shunt Management
- Ensure the pre‑inspection trip sheet is completed at the beginning of each shift
- Ensure all shunt trucks are roadworthy prior to departure
- Report faults to respective service providers and conduct incident/accident investigations
- Daily analysis of usage, reports and serviceability
- Report truck breakdowns and follow up on truck serviceability
- Ensure vehicles are serviced and maintained according to service intervals and safety standards
- Shift planning (correct number of staff for the shift)
- TMS management
Transportation Management Systems (TMS)
- Upload customer orders onto TMS for next day operations before 17:00 daily
- Update load information and keep it up to date
- Upload PODs daily upon delivery completion
- Follow up on tracking events escalated by the control tower in a timely manner
- Ensure costings per load are up to date for each load
- Maintain driver information in the system and keep it up to date
Cost Management
- Profit and loss margin on each load and profitability targets
- Vehicle utilisation
- General expenses (stationery usage, etc.)
- Control of damages (loading & driving incidents, etc.)
- Monitor transportation costs and financial performance, implementing cost‑saving measures where possible
- Monitor the department’s GP per week
Customer Management
- Ensure customer orders are attended to in a timely fashion
- Record collection and delivery information accurately within TMS and generate relevant reports
- Provide daily updates to customers on collection, enroute delivery, confirmations, delays or issues
- Provide updates on shipment statuses
- Manage PODs and ensure they are uploaded upon delivery completion
- Customer support on queries and query management
ISO and Business Management System
Maintain compliance with ISO 9001:2015 and related business management systems.
People and Staff Management
- Task allocation: assign tasks, duties and responsibilities to team members
- Performance monitoring: track staff performance, productivity and adherence to safety standards
- Maintenance management: coordinate vehicle inspections, maintenance and repairs; conduct preventive maintenance activities
- Collaboration with maintenance teams to resolve vehicle issues
- Set up a weekly maintenance meeting; handle ad‑hoc tasks as required
Fleet Optimisation
- Analyse routes, capacity and utilisation
- Monitor fuel consumption and maintenance costs
Safety Initiatives
- Implement safety programmes and training
Compliance
- Ensure adherence to regulations and laws
Project Management
- Oversee transport‑related projects
Data Analysis
- Analyse transport data to improve operations
Emergency Response
- Coordinate responses to transport‑related emergencies
Stakeholder Management
- Liaise with internal and external stakeholders
