What You’ll Do as a Transport Administrator & Coordinator
This role is more than just scheduling—you’ll be the heartbeat of our staff transport operation, ensuring safety, efficiency, cost control, and seamless communication across the business.
Your Key Responsibilities:
- Plan & Coordinate Daily Transport
- Create, manage, and optimize daily pickup and drop‑off schedules for all staff and management.
- Proactively adjust routes based on staffing changes or operational requirements.
- Coordinate closely with WFM, HR, and Operations to align transport with shift planning.
- Monitor real‑time schedule adherence and respond to delays or incidents.
- Driver & Vehicle Administration
- Brief drivers daily on routes, staff lists, and special instructions.
- Track driver performance, punctuality, and policy compliance.
- Maintain accurate records for fuel usage, mileage, trip sheets, and vehicle checklists.
- Support routing software and GPS tracking implementation.
- Cost Control & Compliance
- Monitor fuel usage, routes, overtime, and vehicle‑related expenses.
- Identify and implement cost‑saving initiatives.
- Ensure compliance with transport policies, safety standards, and labour requirements.
- Maintain audit‑ready documentation at all times.
- Communication & Stakeholder Support
- Act as the main point of contact for all transport‑related queries.
- Proactively communicate schedule changes and delays to staff.
- Liaise with external transport partners when required.
- Provide daily and weekly transport performance updates to management.
- Reporting & Data Management
- Maintain daily transport trackers, logs, and spreadsheets.
- Analyze bottlenecks and optimisation opportunities.
- Compile weekly and monthly reports on:
- Route efficiency
- Attendance vs transport usage
- Fuel spend
- Performance indicators
- Incident logs

What We’re Looking For
- Matric / Grade 12 (Required)
- 2–3 years’ experience in transport, logistics, operations, scheduling, admin, or call centre environments
- Strong Excel skills (formulas, pivot tables, VLOOKUPs, reconciliations)
- Excellent verbal and written communication skills
- Certificate or Diploma in Logistics, Transport, Supply Chain, or Business Administration (Advantageous)
- Experience with routing tools, dispatch systems, or GPS tracking
- Experience in BPO or shift‑based environments (Highly advantageous)
