Work set up: Hybrid (Cape Town office)

Our client in the financial services industry is looking for a Team Assistant – Creative & Design to support the global Creative and Design team by ensuring smooth day-to-day operations. The role provides administrative and logistical support, including diary and meeting management, travel coordination, and expense processing. The Team Assistant also supports project management, contributes to the upkeep of creative assets and tools, and fosters a positive team culture across locations. With strong attention to detail, a collaborative mindset, and a passion for creative excellence, this role enables operational efficiency and supports high-impact creative delivery.

What you will do
  • Diary and meeting management
    • Manage complex diaries for the Head of Creative & Design and the leadership team, including scheduling meetings, preparing agendas, coordinating travel, and ensuring timely follow‑ups.
  • Team operations and administration
    • Provide day‑to‑day administrative support to the Creative and Design team, ensuring smooth operations and maintaining team processes and documentation.
  • Travel, expenses, and invoicing
    • Coordinate travel arrangements, process expense claims, and manage invoice processing for the team, ensuring accuracy, timeliness, and compliance with company policies.
  • Creative asset support
    • Support the organisation and upkeep of creative assets, including contributing to the maintenance of the Brand Hub in collaboration with Group Brand.
  • Project support
    • Work closely with the Senior Creative Operations Executive to support project management tasks as needed, tracking timelines, coordinating reviews, and helping to keep projects on course.
  • Team culture and engagement
    • Promote morale and wellness within the South Africa team and foster strong cross‑location relationships through effective communication, coordination, and team‑building initiatives.
  • Stakeholder coordination

    Liaise with internal and external stakeholders to support the delivery of creative work, ensuring clear communication and timely responses.

Qualifications
  • Proven experience in an administrative or team assistant role, ideally within a creative, marketing, or finance environment.
  • Strong organisational skills with the ability to manage multiple priorities, schedules, and deadlines with accuracy and calm under pressure.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships across teams and locations.
  • Confident diary management and meeting coordination for senior stakeholders.
  • Experience coordinating travel, processing expenses, and handling invoice administration.
  • Comfortable working with digital tools and platforms (e.g., Microsoft Office, Teams, SharePoint, or equivalent project management systems).
  • A proactive, can‑do attitude with a willingness to support wherever needed.
  • Familiarity with creative workflows and terminology.
  • Experience supporting project management or operations within a creative or brand team.
  • Understanding of brand asset management systems or digital asset libraries.
  • A collaborative mindset and interest in team culture, wellness, and engagement.
