Job Responsibilities
  • Support the team with setting up meetings; team meetings, stakeholder meetings; service providers including booking of venues.
  • Assist the team with travel and accommodation bookings as well as travel claims
  • Capture minutes during team meetings for distribution.
  • Follow up on outstanding issues assigned to team members for completion.
  • Organise team events.
  • Support with branding requirements at events.
  • Manage assigned mailbox, calendar and shared drives.
  • Provide administrative support for projects work where required.
  • Facilitation of Supply Chain processes relating to the creation of PO’s, processing of invoices for payments.
  • Follow up on payment and provide feedback to service providers on progress of payments of Invoices.
  • Provide administrative support to visitors’ logistics i.e. parking, refreshments, access etc.
  • Oversee the budget and ensure we manage costs and spend within the allocated budget.
Qualifications

Qualification: Matric, Communications qualification desired

Driver’s license: Code B/C1

Experience: Proven track record of extensive practical experience in a role and context of similar complexity

Knowledge and Skills:

  • Proficient in planning and organizing skills
  • Advanced level of communication and interpersonal skills
  • Advanced level of computer skills
  • Familiarity with travel and expenses booking tools
  • Working knowledge of SAP
  • Strong organisational skills with the ability to prioritise and multitask
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and use initiative
