Overview
We are seeking a highly organized and results-driven Senior Project Manager to oversee the full patient acquisition and conversion funnel from lead generation to patient experience and reporting. This role requires someone who thrives in a fast-paced environment, can manage multiple moving parts, and ensures nothing falls through the cracks. The Senior Project Manager will work directly with the founder and cross‑functional teams to drive growth, optimize conversions, and uphold brand trust.
Key Responsibilities
- Lead Generation (Top of Funnel)
- Partner with the content/marketing team to ensure campaigns consistently generate qualified leads (via DMs, forms, calls).
- Monitor lead sources (Instagram, Google, TikTok, etc.) and track weekly performance.
- Provide actionable insights on what drives lead volume and quality.
- Lead Management (Primary Responsibility)
- Respond to inbound leads within 15–30 minutes.
- Own CRM management, ensuring every lead is tracked, updated, and followed up on without gaps.
- Oversee automated follow‑up sequences (text, email, calls) and promptly fix issues.
- Work with the founder to refine scripts, tone, and response strategy.
- Coordinate part‑time support staff to ensure full coverage and zero missed leads.
- Booking Management
- Review booking data weekly: total bookings, sources, and trends.
- Ensure booking benchmarks are consistently achieved.
- Either manage bookings directly or hold staff accountable, reporting on performance and addressing gaps.
- Keep calendars consistently filled.
- Consultation & Sales Conversion
- Track and report consultation‑to‑treatment conversion rates.
- Collaborate with clinicians to improve consultation scripts, closing techniques, and overall conversion.
- Monitor objections and patient feedback on why sales are lost.
- Re‑engage unconverted patients within 48 hours through strategic follow‑ups.
- Support upsell/ down‑sell strategy execution.
- Patient Experience & Brand Trust
- Oversee patient feedback loop: monitor reviews, surveys, and concerns.
- Ensure new patients feel supported post‑consultation regardless of conversion outcome.
- Enhance brand trust by closing the loop on patient communication.
- System Accountability
- Audit and maintain admin systems (logins, booking links, access, etc.).
- Proactively identify and elevate issues with backend processes or workflows.
- Be the eyes and ears of operational systems to ensure smooth function.
- Funnel Performance & Reporting
- Deliver a comprehensive weekly funnel performance report including: total leads by source, booked appointments, show‑up rates, and conversion to treatment plans.
- Collaborate with the founder regularly to review metrics, highlight wins, flag issues, and propose ROI‑driven improvements.
Qualifications
- 5 years of project management operations or sales/marketing funnel management experience.
- Proven expertise in CRM management, lead tracking, and pipeline optimization.
- Strong analytical skills with the ability to translate data into actionable strategies.
- Excellent written and verbal communication skills.
- Highly detail‑oriented, dependable, and proactive.
- Assertive, confident, and a true go‑getter who takes ownership and drives initiatives forward.
