Introduction

Expanding company in the manufacturing field is looking for a Senior Project Administrator to support the execution of engineering projects by coordinating documentation, communication,and internal processes once an order has been secured.

This role bridges the handover from Engineering (Project Engineers) and Sales to Project Management and Production, ensuring that all administrative and procedural aspects of the project are handled efficiently and professionally

Duties & Responsibilities

To ensure that assigned projects are executed on time, to the required quality standards, and to the satisfaction of the customer, with all internal and external documentation accurately prepared, tracked, and issued.

  • Review and understand the full scope of the project, including technical deliverables and commercial terms
  • Identify and document contractual requirements and commitments
  • Coordinate with the Internal Sales Manager to issue milestone invoices and ensure bond requirements are met
  • Liaise with the Quality Manager to confirm quality requirements align with tender and quotation documents
  • Work with the Production Controller to highlight any special production requirements
  • Maintain accurate records of all project-related meetings and decisions
  • Provide customers with regular updates on production progress and delivery timelines
  • Coordinate scope changes with the Sales Manager, including cost estimation and quotation preparation
  • Monitor production challenges or delays and communicate updates to the customer in consultation with relevant managers
  • Arrange and coordinate customer inspections with Production and Quality teams
  • Ensure all final documentation is complete and ready for invoicing upon project completion
  • Conduct post-project profitability reviews and report findings to the Internal Sales Manager
Desired Experience & Qualification
  • Diploma in relevant field
  • 10+ Years experience in a similar role
  • Own vehicle and driver's license
  • Strong organisational and administrative skills
  • Project coordination and documentation
  • Communication and stakeholder liaison
  • Basic financial tracking and invoicing support
  • Familiarity with engineering or technical environments
  • Proficiency in Microsoft Office (especially Excel, Word, Outlook)
  • Experience with project management tools is advantageous
  • Attention to detail and ability to manage multiple priorities
  • PMP / PRINCE II certification is favourable but not required
  • Technical background (Metallurgy, Mechanical, Process, Instrumentation) or equivalent experience is beneficial
