A property management company based in Durban is seeking a Portfolio Management Specialist to oversee sectional title schemes and ensure the efficient administration of operations. The ideal candidate will have proven experience in portfolio management, strong knowledge of property administration, and excellent communication skills. We are seeking a highly skilled Portfolio Management Specialist who will serve as the primary point of contact between all parties and assist in matters where necessary.
This role entails providing professional and reliable service within 24 hours.
Manage Day-to-Day Operational Administration : Oversee the daily management of sectional title schemes, ensuring that all administrative tasks are completed efficiently and effectively.
Provide Professional Management Agency Services : Ensure that management agency services are provided according to mandates and service level agreements, maintaining high standards of professionalism and integrity.
Maintain Sound Knowledge of Property Administration : Develop and maintain a comprehensive understanding of property administration, including relevant Acts and regulations.
Communicate Effectively with Scheme Boards and Members : Establish strong relationships with scheme boards and members, communicating clearly and transparently on all matters related to the portfolio.
Resolve Complaints, Queries, and Requests Timely : Address any complaints, queries, or requests from scheme boards and members in a prompt and efficient manner, ensuring that their concerns are resolved quickly and effectively.
Establish and Maintain Safety Programs : Develop and implement safety programs to ensure the well-being and safety of all individuals involved in the portfolio.
Oversee Financial Management and Record Keeping : Manage the financial aspects of the portfolio, ensuring accurate records and reports are maintained at all times.
Administer Operating Budgets and Provide Reports : Oversee the administration of operating budgets, providing regular reports to stakeholders as required.
Attend General Meetings and Trustee / Board Meetings : Represent the organization at general meetings and trustee / board meetings, participating actively in discussions and decision-making processes.
Prepare Meeting Notices, Agendas, and Minutes : Prepare and distribute meeting notices, agendas, and minutes, ensuring that all documentation is accurate and up-to-date.
Submit and Implement Insurance Renewals : Oversee the submission and implementation of insurance renewals, ensuring that all necessary documents are completed and submitted on time.
Manage Scheme Interests Professionally : Ensure that the interests of the scheme are managed professionally and in accordance with applicable legislative precepts.
Proven experience in portfolio management or a related field
Strong knowledge of property administration and relevant Acts
Excellent communication and interpersonal skills
Ability to work under pressure and manage multiple tasks simultaneously
High level of professionalism and integrity
