Job description
Overview

We are seeking a meticulous and experienced Payroll Administrator to join our team. The successful candidate will be responsible for processing various payrolls on VIP for all WSP Operating Companies. This role requires a keen eye for detail and the ability to differentiate between permanent and contract or fixed-term staff.

Key Responsibilities
  • VIP payroll administration and processing
  • Manage workflow to ensure all payroll transactions are processed accurately and timeously, whilst ensuring that procedures are in place to provide strong internal controls and ensuring good governance in the payroll.
  • Assisting in processing of payrolls in South Africa as well as the rest of Africa to ensure timely and accurate payment to staff as well as to submit the necessary legislative returns – South Africa and Africa (Moz, DRC, Ghana).
  • Remain current on new legislation and regulatory rulings influencing payroll and reporting requirements. Enforce adherence to requirements and advise management on required actions.
  • Run the payroll interface - General Ledger, Leave provision, and 3rd party payments.
  • Administration of reimbursements to employees, i.e. Credit cards and petrol cards.
  • Balance and reconcile payroll related payments and deductions to reports produced via the VIP system prior to transmission in order to validate confirmed reports.
  • Prepare accurately and timely reports as required by the Finance and Human Resources Departments.
  • Carry out self-audits on the master payroll schedule.
  • Prepare Bank Control Account reconciliations.
  • Prepare reconciliation of all salary and share bank accounts.
  • Responsible to resolve General Ledger queries from Finance.
  • Update all employees’ Employment Equity and Skills Development information on the VIP system.
  • Reconciliation and submission of Employee benefits. Manage the interface between Employee benefits and respective third parties. Ensure reconciliations are done to match the records of the third parties.
  • Maintenance and accurate capturing of Leave records, and completion of leave recons. Advise the Human Resources Department should a problem be identified in terms of excessive sick and unpaid leave taken by an employee.
  • Maintain data integrity and data updates of the payroll system.
  • Prepare and distribute IRP5 certificates each year.
  • Medical Aid and Pension Fund administration.
  • General Admin duties including filing.

Qualifications and Experience Required
  • Advanced experience and knowledge of VIP and VIP reporting including HRM modules.

  • 3-5 years’ experience on Sage VIP People modules.
  • Working knowledge of payroll best practices.
  • Strong knowledge of regulatory requirements.
  • Understand proper taxation of employer paid benefits.
