A leading infrastructure consultancy in South Africa is seeking an experienced Payroll Administrator. In this role, you will manage payroll processing on VIP for various operating companies and ensure compliance with regulatory requirements. The ideal candidate will have a strong background in payroll administration, particularly with VIP, and possess excellent attention to detail. We are seeking a meticulous and experienced Payroll Administrator to join our team.
The successful candidate will be responsible for processing payrolls on VIP for all WSP Operating Companies.
This role requires a keen eye for detail and the ability to differentiate between permanent and contract or fixed-term staff.
VIP payroll administration and processing
Manage workflow to ensure all payroll transactions are processed accurately and time‑sously, while maintaining strong internal controls and good governance.
Assist in processing payrolls in South Africa and the rest of Africa (Mozambique, DRC, Ghana) to ensure timely and accurate payment to staff and submit the necessary legislative returns.
Stay current on new legislation and regulatory rulings affecting payroll and reporting; enforce adherence and advise management on required actions.Run the payroll interface – General Ledger, Leave provision, and 3rd‑party payments.
Administer reimbursements to employees (e.g., credit cards and petrol cards).
Balance and reconcile payroll‑related payments and deductions to reports produced via the VIP system prior to transmission.
Prepare accurate and timely reports as required by the Finance and Human Resources departments.
Carry out self‑audits on the master payroll schedule.
Prepare bank control account reconciliations.
Reconcile all salary and share bank accounts.
Resolve general ledger queries from Finance
Update all employees’ Employment Equity and Skills Development information on the VIP system.
Reconcile and submit employee benefits, manage the interface with third parties, and match records.
Maintain leave records, complete leave reconciliations, and advise HR on excessive sick or unpaid leave.
Maintain data integrity and updates of the payroll system.
Prepare and distribute IRP5 certificates each year.
Medical Aid and Pension Fund administration.
General administrative duties, including filing.
Role‑model SHEQ performance and behavior, consistent with the company’s vision and policies.
Identify SHEQ risks and drive processes to achieve Zero Harm

High degree of professionalism.
Effective communication with various levels of management.
Sensitivity to confidential material.
Advanced experience and knowledge of VIP and VIP reporting, including HRM modules.
3–5 years’ experience managing the full payroll function (including Sage VIP People modules).
Working knowledge of payroll best practices
Strong understanding of regulatory requirements and proper taxation of employer‑paid benefits.
