About the Role
We are seeking an experienced, highly efficient and proactive Senior Executive Assistant to support the CEO and COO of a fast-growing Property Management Company. The successful candidate will drive executive efficiency, oversee the General Administrator, manage high‑level communication and ensure strong coordination across the business. This role requires exceptional organisation, professionalism, and the ability to perform under pressure and meet demanding deadlines.
Key Responsibilities
Executive Support
- Manage complex diaries, scheduling and meeting coordination for the CEO & COO.
- Prepare, review and draft correspondence, reports, presentations and confidential documentation.
- Attend meetings, take detailed minutes, and ensure follow‑up on action items.
- Screen and prioritise calls, emails and WhatsApp messages for the Executives.
- Manage extensive travel arrangements and logistical planning.
- Prepare briefing packs and ensure executives are well‑informed and prepared ahead of engagements.
Leadership & Team Support
- Oversee and mentor the General Administrator, ensuring task allocation, performance and workload management.
- Delegate work effectively to support staff and ensure efficient execution of priorities.
- Support departmental coordination and provide guidance to internal teams when required.
Communication & Stakeholder Management
- Act as the main point of communication between executives, staff, property owners, clients and stakeholders.
- Monitor and respond professionally to messages on WhatsApp Business and owners’ groups.
- Ensure all queries are addressed promptly and escalated appropriately.
- Coordinate and communicate decisions and feedback on behalf of executives.
Operational & Administrative Support
- Handle confidential documentation and sensitive company information.
- Manage company expenses, payments, receipts and executive financial administration.
- Assist in planning internal events, property meetings, inspections and operational activities.
- Track progress on projects and ensure deadlines are met across departments.
Property Management Environment Support
- Maintain a strong understanding of property management processes, tenant and owner relations.
- Assist executives with communication relating to property operations, reporting and portfolio updates.
- Support issue resolution and ensure accurate information is communicated to property owners.
Qualifications & Experience
- Minimum 5–8 years’ experience supporting C‑Suite Executives.
- Experience within Property Management, Real Estate or Facilities Management is highly advantageous.
- Advanced MS Office and digital communication tools proficiency.
- Strong knowledge of professional business etiquette and corporate communication.
