About the Company

Our client is a leading manufacturer and supplier of custom steel and timber fixtures for major retail chains across South Africa and neighbouring countries. They deliver high-quality shopfitting solutions for new store openings, refurbishments, and large-scale retail rollouts known for precision, reliability, and excellence under tight deadlines.

Role Overview

We are seeking a highly organized, detail-oriented, and trustworthy Senior Client Account & Project Coordinator to manage key retail client accounts and ensure the smooth delivery of multiple concurrent projects.

This position serves as the central point of coordination between clients, production, logistics, and management, overseeing the entire process from quotation through to delivery. The successful candidate will undergo a structured two-year mentorship and handover with a senior team member to ensure a seamless transition of key client accounts and internal processes.

Key Responsibilities
Client Account Management
  • Serve as the primary point of contact for assigned retail clients.

  • Manage daily communication on orders, revisions, and delivery schedules.

  • Build and maintain trusted relationships to ensure client satisfaction.

  • Resolve issues such as short deliveries, damages, or discrepancies promptly.

Quotation & Order Processing
  • Review and interpret client drawings, floor plans, and Legends.

  • Prepare and issue accurate quotations within required timeframes.

  • Process purchase orders and confirm correct revision drawings are used in production.

  • Capture job details accurately into internal systems.

  • Manage stock draw-down lists and delivery Gantt charts.

Production Coordination
  • Liaise with production to confirm lead times and capacity.

  • Track project progress and ensure delivery deadlines are met.

  • Communicate proactively with clients on potential delays or changes.

Logistics & Delivery Management
  • Coordinate all deliveries via internal fleet or external transporters.

  • Maintain manifests, delivery documentation, and proof of deliveries.

  • Address post-delivery issues quickly and professionally.

New Client Setup & Onboarding
  • Create and manage new client profiles and pricing structures.

  • Work closely with the costing department to obtain accurate data for quotations.

Administrative Support
  • Maintain detailed client records, correspondence, and approvals.

  • Prepare progress and performance reports for management.

  • Assist the Director with administrative tasks when required.

Required Skills & Competencies
Technical & Functional
  • 10+ years experience in project coordination, client account management, or production administration within manufacturing, shopfitting, or construction.

  • Strong ability to read and interpret technical drawings and floor plans.

  • Excellent numerical accuracy for quotes and costing.

  • Proficiency in MS Office (especially Excel) and ERP/job management systems.
