Responsibilities
- Switchboard — Answer incoming calls for the marketing and sales department; take messages and inform the relevant parties or departments; handle queries from customers and head office; assist in handling elements of the customer complaint procedure and pass information to the relevant department.
- Order Processing — Ensure price control by comparing orders to system pricing; load orders onto the shared drive document for approval; process approved orders to head office; confirm order delivery and coordinate slot bookings; confirm delivery date and time with customers.
- General Administrative Duties — Order stationery and general office supplies, including coffee, tea, cleaning supplies, and water; type company documents, letters, and price lists; book flights, guest houses, rental cars, etc., for the sales team; manage petty cash for the office; provide general PA support for the General Manager of Sales and Marketing, including filing, meeting management, and boardroom bookings; handle email inquiries, and orders, and ensure requests are passed on to the relevant parties or processed accordingly; provide general administrative support for the Sales and Marketing office; manage the sales inbox email address; handle any other reasonable requests to support the smooth operation of the office.
Qualifications
- Must be fully bilingual in Afrikaans and English
- Matric or equivalent; relevant administrative or secretarial certification is a plus.
- Previous experience in a similar administrative or receptionist position and in business-to-business sales is essential.
- Fully bilingual in Afrikaans and English.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, and Outlook).
- Strong organisational and time management skills.
- Ability to handle multiple tasks and prioritise effectively.
- Attention to detail and accuracy in work.
- Professional and courteous demeanour.
- Ability to work independently and as part of a team.
- Flexibility to handle various tasks as needed.
Location
This position is fully office-based and the person must reside close to Krugersdorp.
