Job description
Purpose of the role

The purpose of the Sales Administrator role is to manage and oversee customer order processing, ensure accurate and timely order management, coordinate communication between Sales, Logistics, and Finance teams, and support system accuracy and workflow efficiency through reporting and continuous improvement initiatives.

Key Responsibilities
  • Order Processing and Management: Capture, validate, and maintain customer orders accurately on SAP (VA01).
  • Coordinate new customer creation requests with Finance and Sales teams.
  • Ensure all pricing is loaded and maintained in line with approved structures.
  • Process proforma invoices and liaise with Finance regarding blocked or overdue accounts.
  • Monitor and follow up on pending or incomplete orders to ensure on-time delivery.
  • Capture urgent or after-hours orders when required to support operations.
  • Serve as the primary liaison between Sales, Logistics, and Finance to ensure smooth order flow; communicate delivery schedules, order confirmations, and changes to relevant stakeholders.
  • Escalate critical or time-sensitive issues to the appropriate departments promptly.
  • Maintain accurate records of orders, approvals, and related correspondence.
  • Manage and oversee customer order portals, ensuring data accuracy and pricing compliance.
  • Approve or reject orders based on stock availability, pricing, and quantity validation.
  • Generate daily, weekly, and monthly reports on order processing, OTIF performance, and backlog.
  • Support continuous improvement initiatives to enhance system accuracy and workflow efficiency.

  • Strong proficiency in SAP (Sales & Distribution) and Microsoft Excel.

Qualifications and Experience
  • Grade 12 / Matric (Essential).
  • Diploma in Business Administration, Supply Chain, or related field (advantageous).
  • Minimum 2-3 years' experience in sales or order administration within a fast-paced environment.
  • SAP Sales & Distribution (SD) Module experience (essential).
  • Experience in the cement, logistics, or manufacturing industry (advantageous).
