Job description
Sales Administrator – Paarden Eiland, Cape Town

Our client, a leading supplier of premium products to the building industry, is looking for a meticulous professional to manage client portfolios, prepare quotes, process invoices, and coordinate key sales documentation in a fast‑paced, customer‑focused environment where accuracy and efficiency are key to success.

Working Hours

Monday – Friday 08:00–17:00; Saturdays (2 per month) 08:00–12:00.

Valid driver’s license and own vehicle.

Duties and Responsibilities
  • Assist the sales executives in achieving and exceeding their sales targets by providing comprehensive administrative support.
  • Deliver excellent customer service to sales executives’ clients, both in person and over the phone.
  • Document and follow through on all processes and procedures related to the sales process.
  • Take sales calls and inquiries on behalf of the sales executives.
  • Deal with website enquiries/leads and respond to them promptly.
  • Assist sales executives’ clients in the showroom.
  • Assist walk‑in clients in the showroom as a backup to customer service.
  • Prepare quotations, check stock and prices.
  • Process drawings for costing quotes.
  • Handle e‑mail correspondence.
  • Follow up telephonically after sending quotations and sales orders.
  • Follow up on payments and signed documentation upon confirmation of sale.
  • Ensure all relevant information is added to the order upon acceptance.
  • Book off material and process orders.
  • Issue sales orders to the factory.
  • Coordinate templates with client and factory.
  • Deal with discrepancies between client drawings and templates.
  • Arrange and confirm delivery and installation dates with the client.
  • Generate purchase orders for local suppliers of services and stock.
  • Obtain quotations from outsourced contractors.
Qualifications
  • Matric (Grade 12) and 3–5 years’ experience in a sales administration role.
  • Working knowledge of MS Office, especially Word and Excel.
  • Previous experience in the building industry is advantageous.
  • Fluency in English, with excellent verbal and written communication skills.
