As a Resource Coordinating Manager you’ll work with stakeholders, using a continuous improvement mindset, business acumen and Management Information (MI) to inform decisions. You’ll be part of a team of problem solvers helping to solve business issues and drive operational efficiency.

Responsibilities
  • Lead and manage strategic planning, allocation, and resource pools of Client Service Staff (CSS) ensuring alignment with the firm’s priorities and business metrics, resolving unassigned clients and reallocations for new CSS joiners/leavers.
  • Utilise continuous planning and scheduling to meet firm utilisation targets, focusing on staff leverage and peak-season needs.
  • Proactively monitor ACI vs. Non ACI statistics during planning and otherwise.
  • Manage key initiatives or projects for better staff planning.
  • Design and develop new processes and policies to enhance operational efficiency; present them to Leadership for approval and implementation.
  • Upload Resource Planning System (TalentLink) with non-chargeable events such as training, tutoring, study leave, academies, SAICA, quality reviews, coaching, business development, internal projects, statutory holidays, firmwide closure days, admin, and division-specific items.
  • Direct and oversee analysis of productivity reports, developing strategic plans for workload balancing, utilisation improvements, and people deployment/resourcing solutions that drive growth and profitability.
  • Consolidate, interpret and analyse Management Information (MI) to provide trends and identify opportunities to improve profitability and people engagement.
  • Lead collaboration with Resource Management professionals, facilitate staff imports/exports and secondments, and participate in initiatives that drive operational improvement.
  • Build relationships with stakeholders and internal services teams to ensure alignment and effective communication across teams.
  • Provide leadership, coaching and strategic direction to Resource Management Planners as the team expands, ensuring adherence to resourcing processes and professional development.
  • Lead conflict resolution efforts and proactively mitigate issues to ensure smooth operations.
  • Build trusted advisory relationships with staff at all levels and promote resource sharing across industry/regional counterparts.
  • Lead the development and implementation of Resource Management technology (notably TalentLink Staffing & Deployment) to support planning, allocations, forecasting, and reporting; deliver training and identify enhancements for continuous improvement.
  • Admin duties: manage resignation protocols, safeguard accuracy of termination databases, ensure time/expenses are captured, and reconcile leave balances with payroll systems.
  • Prepare and consolidate various reports (utilisation/hours, budget forecasts, trainee/newjoiner processes) as needed.
Qualifications / Certifications

Recommended: Bachelor’s degree in business administration, project management or related field

Experience required:

  • 5 – 7 years’ experience in resource planning
  • 1-2 years managing a team of resource planners
Skill sets required
  • Solid understanding of Resource Management, forecasting and strategic planning, and how these connect to business strategy, with commercial acumen and KPI-based decision-making.
  • Proficiency in data analysis and storytelling through MI; ability to leverage data visualization tools such as Tableau or Power BI to present data effectively.
  • Exceptional English communication skills (written and verbal); ability to influence in high-stress situations; consult and manage stakeholders with conflicting priorities.
  • Ability to make independent decisions and exercise sound judgment while being a collaborative team player.
  • Experience in leading, coaching, and developing teams, with a track record in strategic and creative thinking; coaching and mentoring across the function.
  • Strong problem-solving skills with understanding of the business impacts of resourcing decisions; ability to address concerns independently and maintain professionalism.
  • Ability to manage ambiguity and complex projects, think strategically, and meet deadlines under pressure.
  • Proven ability to set priorities and deliver on deadlines with accuracy and attention to detail; initiative to achieve results.
  • Skilled at executing change management and engaging with partners and staff at all levels.
  • Ability to maintain confidentiality.
  • Experience using TalentLink, Oracle, WIP and MS Office Suite (specifically Excel).
