Job Title : Reservations and Admin Coordinator

Reports to : General Manager / Operations Manager

Position Overview :

We are seeking a dynamic and detail-oriented Reservations and Admin Coordinator to join our team in George, Western Cape. This role is pivotal in ensuring the smooth operation of both our hospitality division and our administrative office functions. The ideal candidate will be the first point of contact for guests and clients, handling all reservation-related communication, administrative processes, and supporting marketing initiatives.

Responsibilities
Reservations & Guest Services
  • Respond promptly and professionally to reservation inquiries via phone, email, and booking platforms.
  • Manage all bookings for guest houses and event spaces, including group reservations and long-term stays.
  • Coordinate check-ins, check-outs, special guest requests, and liaise with on-site hospitality teams.
  • Issue booking confirmations, invoices, and pre-arrival information to guests.
  • Maintain accurate and up-to-date records of all reservations and occupancy reports.
  • Use and manage Online Travel Agencies (OTAs) and Property Management Systems (PMS).
Administrative Duties
  • Prepare and manage contracts, booking terms, and guest records in compliance with company standards.
  • Manage invoicing, payments, supplier coordination, and expense tracking.
  • Maintain an organized filing system (physical and digital) for all reservations and administrative records.
  • Assist with internal communications and schedule management for the guest houses and office operations.
  • Provide general administrative support to management as required.
Marketing & Promotions
  • Assist in the implementation of promotional campaigns and special offers for the guest houses.
  • Coordinate updates to OTA listings, social media, and other marketing platforms.
  • Support the team with content creation and guest communication during promotions or events.
  • Maintain a calendar of upcoming promotions, events, and peak seasons.
Candidate Requirements
  • Location : Must be based in or willing to relocate to George, Western Cape.
  • Experience : 2+ years in a reservations, front office, or administrative coordination role—preferably in hospitality or service industries.
  • Technical Skills : Proficient in reservation and booking systems (e.g., NightsBridge, Cloudbeds, or similar).
