Salary: $450

We are looking for a highly organised, proactive, and tech-savvy PA / Admin Assistant to support our daily operations and help streamline key business functions. The ideal candidate is confident, independent, and able to take initiative while managing a variety of administrative, communication, and coordination tasks.

Key Responsibilities

Administrative Support

  • Manage calendars, appointments, and schedules.
  • Handle inboxes, emails, WhatsApp communication, and general correspondence.
  • Conduct data scraping and online research (property data, company information, lead lists).
  • Prepare and draft documents including agreements, NDAs, proposals, and reports.
  • Support case progression by liaising with solicitors and ensuring files move smoothly.

Client & Lead Coordination

  • Lead outreach and qualification (comfortable with light sales).
  • Follow up with leads professionally via phone, email, or WhatsApp.
  • Set appointments and maintain an organised pipeline of leads.

Marketing & Social Media

  • Assist in scheduling and writing social media posts (AI-assisted).
  • Use Canva for basic design tasks (graphics, posts, templates).

Finance & Recordkeeping

  • Basic bookkeeping and expense tracking using Xero.
  • Maintain and update spreadsheets and CRM records accurately.

Day-to-Day Operations

  • Make phone calls, coordinate information, and complete general admin tasks.
  • Take initiative and make small decisions without constant supervision.
  • Support the team with ad hoc duties as needed.

Requirements
  • Proven PA or administrative experience.
  • Strong organisational skills and a proactive mindset.
  • Confident communicator — comfortable on phone, email, and messaging apps.
  • Familiarity with UK property processes (bonus but not essential).
  • Basic sales or lead engagement experience.
  • Tech-savvy — comfortable with Google Workspace, CRMs, spreadsheets, and tools like ChatGPT.
  • Basic Canva skills.
  • Experience with GoHighLevel is a plus (not required).
