Job summary

Responsibilities

  • Greeting visitors
  • Managing security and telecommunications systems
  • Handling queries and complaints via phone, email and general correspondence
  • Transferring calls as necessary
  • Taking and ensuring messages are passed to the appropriate staff member in time
  • Managing meeting room availability
  • Receiving, sorting, distributing and dispatching daily mail
  • Preparing vouchers
  • Handling transcription, printing, photocopying and faxing
  • Recording and maintaining office expenses
  • Coordinating internal and external events
  • Managing office inventory such as stationery, equipment and furniture
  • Overseeing office services like cleaners and maintenance service providers
  • Maintaining safety and hygiene standards of the reception area
  • Opening the office
  • Placing orders for the canteen
  • Making bookings for the boardrooms
  • Daily reports to Finance
  • Attending to the switchboards
  • Sending emails
  • Running errands for the office if needed
  • Checking and maintaining credit accounts on Arch
  • Assisting with printing menus for Jumah lunch and lunch meetings
  • Errands for the office checking stock count assisting with boardroom connections assisting on Arch ordering of stock update weekly running costs getting invoices from the office suppliers assisting with stationery
