Job Title: Receptionist

Location: Roodeplaat, Pretoria

Together with our client, a leading HVAC and Air-Conditioning solutions provider, we are recruiting for a professional and well-presented Receptionist. The successful candidate will manage the front office, welcome visitors, handle calls, plan and coordinate small internal events, and support the company’s social media presence through content creation on Canva. This role provides essential administrative support to ensure smooth communication and operational efficiency across the organisation.

Responsibilities
Front Desk & Client Interaction
  • Greet and welcome clients and visitors professionally
  • Answer and direct calls, emails, and WhatsApp communication
  • Maintain a clean, organised, and welcoming reception area
Office Administration
  • Manage inboxes, filing, scanning, and courier logistics
  • Track stock levels of stationery and consumables
  • Maintain and update admin documents and internal records
  • Support with data capturing and reporting
  • Assist Directors with business and occasional personal admin
Scheduling & Coordination
  • Coordinate meetings, appointments, and boardroom bookings
  • Liaise with technicians and operational teams for site scheduling
  • Capture and manage job cards, service reports, and supporting documentation
Creativity, Events & Social Media
  • Design and post content for social media using Canva
  • Submit weekly content to Directors for review
  • Assist with internal events (e.g., golf day sponsorships, team-building, year-end functions)
  • Organise birthday celebrations for Directors and team members
Skills & Competencies
  • Excellent verbal and written communication skills.
  • Strong telephone etiquette and client communication.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Professional appearance and behaviour.
  • High level of accuracy, attention to detail, and organisational skills.
  • Ability to work under pressure and prioritise tasks.
  • Be creative and can think outside the box.
  • Small event planning and co-ordinating.

Working Hours
  • Monday to Friday: 7:00 - 16:00
  • Additional hours may be required from time to time, depending on operational needs.
