Medical Office Administrator : Paarl (In-office)
A busy multidisciplinary psychology practice is looking for a vibrant, articulate, and experienced Administrator at the Paarl branch. The candidate must be able to work independently and as part of a team. Reliable transport is required.
Job description
- Managing the diaries of allocated clinicians.
- Scheduling of appointments.
- Contacting newly referred clients for appointments.
- Answering phone calls.
- Responding to inquiries.
- Maintaining professional communication.
- Switchboard management.
- Receiving clients in the reception area.
- Issuing invoices, doing billing.
- Collection of payments.
- Issuing receipts.
- Dealing with claim queries and PMB applications to medical aids.
- Managing medical aid queries.
- Assist with account queries.
- Daily cash up for the branch.
- Manage petty cash for the branch.
- Ensure the practice is always neat and tidy. (Covid Regulations)
- Performing general admin tasks.
- Filing.
Requirements (Experience)
- Minimum of two years’ experience as administrator in a medical / allied health practice – Essential.
- Experience in at least one medical management software program – Essential.
- Experience in doing billing and collections of payments – Essential.
- Experience working on at least one medical management software programme – Essential; Having GoodX experience will be an advantage.
Qualifications
Matric – Essential
Required Skills
- The ability to manage 3 to 4 psychologists’ diaries with accuracy and precision.
- The ability to work under pressure.
- Strong knowledge of practice management systems.
- Excellent telephone etiquette.
- Excellent communication skills and fluency in English and Afrikaans.
- Excellent computer skills. (Word, Excel, Outlook, Zoom, Teams, GoodX, etc.)
- Financial management skills, such as daily cash up and petty cash.
