Job Title: Conveyancing Secretary/Junior Paralegal

Purpose of the Role

The Property Bridging Finance Assistant supports the bridging finance team by ensuring the accurate preparation, review, and verification of all legal and financial documentation related to property finance transactions. The role involves assisting with loan contracts, reviewing property bridging application documents, performing compliance checks, and ensuring all conditions precedent are satisfied before disbursement.

Qualifications & Experience
  • Diploma or degree in Finance, Property, Legal Studies, or Business Administration (advantageous).
  • 2–4 years’ experience in property finance, conveyancing, or legal administration.
  • Experience in bridging finance or property transfer documentation is highly advantageous.
Required Skills & Competencies
  • Strong attention to detail and accuracy in reviewing documents.
  • Good understanding of property transfers, deeds office processes, and conveyancing procedures.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time management abilities.
Key Responsibilities
  1. Contract Preparation and Verification

    Draft, review, and prepare bridging finance agreements, cession documents, loan term sheets, and related correspondence.

    Ensure all contracts are accurate, legally compliant, and aligned with company policies.

    Liaise with attorneys, conveyancers, and clients to ensure proper execution of contracts.

  2. Documentation and Compliance

    Verify completeness of all client documentation before deal approval (KYC, FICA, property deeds, bond cancellation letters, etc.).

    Maintain accurate filing and record-keeping of all contracts, addenda, and supporting documents.

    Ensure all loan and property documents comply with the Companies Act, Financial Intelligence Centre Act (FICA), and internal risk policies.

  3. Transaction Coordination

    Assist with the preparation of deal summaries and disbursement schedules.

    Monitor progress of property transfers, bond registrations, and settlements.

    Follow up with conveyancers and clients for outstanding documentation or confirmations.

  4. Financial Administration

    Capture and reconcile loan disbursements, repayments, and interest schedules.

    Assist in preparing reports for management and auditors.

    Track key dates (expiry, registration, settlement) to ensure timely follow-up and compliance.

  5. Client and Stakeholder Communication

    Maintain professional correspondence with clients, conveyancers, estate agents, and banks.

    Respond promptly to queries and requests for information.

    Support the team in managing client relationships through efficient and accurate document control.

    Discretion and confidentiality in handling financial and client information.
