About the Role
We're seeking a detail-oriented Property Accounts Assistant to support our busy Lettings and Estate Management team. This role is ideal for someone with a solid foundation in accounting and property management administration - especially if you've had exposure to property maintenance or facilities finance. You'll play a key part in managing rent collections, reconciling accounts, and communicating with clients to ensure the smooth financial running of our property portfolio.
Key Responsibilities
Rent & Tenant Account Management
- Collect and process monthly rental payments, ensuring accurate and timely remittance to clients.
- Maintain and update tenant accounts.
- Manage recurring charges, renewals, and TDS deposit transfers in line with compliance standards.
Service Charge & Estate Accounting
- Support the preparation and management of service charge budgets and reconciliations.
- Process balancing charges and manage major works invoices for estates.
- Generate and issue monthly or quarterly financial reports for clients.
Bank Reconciliation & Payments
- Perform monthly bank reconciliations across multiple accounts.
- Record, authorise, and process supplier invoices.
- Prepare and manage payments, ensuring correct coding and approvals.
System & Process Management
- Work across Arthur Online (lettings) and Blocks Online (estate management).
- Support the transition from Qube to Blocks Online and assist with data integrity.
- Help implement process improvements for more efficient financial workflows.
Client Communication & Collaboration
- Serve as a key point of contact for clients regarding accounting and financial queries.
- Provide professional, timely updates to landlords, tenants, and internal teams.
- Collaborate with the maintenance and property management teams to track and reconcile maintenance costs, contractor invoices, and client recharges.
Skills & Experience Required
- Proven accounting or bookkeeping experience, ideally within the property sector.
- Working knowledge of Arthur Online and Blocks Online (or similar property systems).
- Strong reconciliation skills and attention to numerical detail.
- Excellent written and verbal communication skills with a professional, client‑facing manner.
- Ability to manage multiple accounts and deadlines in a fast‑paced environment.
- Exposure to property maintenance finance or contractor invoicing is highly advantageous.
