Job Description

The Accountant is required to be hands on in all aspects of the job. All processing of data would be performed by the Accountant. Although the volumes of processing in each company are not enormous, the combined companies together with their statutory returns and other responsibilities such as payroll and debtors collections result in a full workload. From time to time a little extra time may need to be put in running up to the Audit or for other urgent deadlines. Reporting would be to the Directors and the Accountant would work closely with both the Property Manager and the Creditors assistant.

Monthly
  • Collection of rentals involving telephonic contact, writing of letters, final demands and where necessary handing matters over to attorneys for collection. Receipting of debtors payments on MDA and reporting daily on arrears to MD. A good relationship with tenants needs to be cultivated.
  • Capture on Pastel of cash books and general ledgers including a number of journals. Detailed knowledge of VAT rules is required. A number of splits of payments will be required. Cross invoicing through loan accounts of maintenance charges, intercompany head leases and administration fees is required.
  • Administration of a number of stop order payments such as Mortgage Bonds, Finance Leases, Contractual payments etc and adjusting these for interest rate changes or escalations when required.
  • Invoicing of Tenants on the MDA property management system in accordance with lease obligations as well as the invoicing of recoveries such as op costs , consumption , maintenance, municipal costs etc.
  • Importing the new general ledger control account balances from MDA to Pastel and reconciling the figures.
  • Filing of all records - hard copy
  • Preparation of the Budget / cash flow report involving importing of the GL and MDA data into an Excel spreadsheet format.
  • Preparation of VAT returns on E Filing.
  • Preparation of EMP 201 reND 501 turns on E Filing.
  • Supervision of creditors batches/recons prepared by creditors assistant.
  • Prepare monthly reports for certain costs such as Mortgage bonds and Finance leases, Motor Vehicle costs and Telephone usage.
  • Certain reports available on the MDA system are also required.
  • Monthly Salary batch on Payroll.
Weekly
  • Wages on Pastel Payroll including splits between maintenance, leave, and new projects. This also involves controlling repayments on any staff loans advanced.
  • Preparation of weekly bank balance and investment summary.
  • Preparation of inter company bank transfers.
  • Data backup.
  • Tenants accounts queries.
Annual
  • Preparation of all companies for the Audit (which normally takes place in July/August). This involves many journals to correctly reflect capital and interest portions on repayments, revaluation of properties, deferred tax obligations, raising of interest on intercompany loans in addition to the normal accounting audit requirements such as accruals, prepayments, depreciation/fixed asset register, Vat reconciliations etc. Property specific input for the audit will be provided by the MD.
  • Provisional Tax and Income tax returns and DWT.
  • PAYE reconciliation on SARS system and issuing of IRP5s
  • Return for Workmens compensation.
  • Creating of new files and archiving of old files.
  • Annual updates on Payroll for new income tax figures etc.
  • Preparation of certain Budget figures together with other staff for insertion into the annual budget/cash flow report.
  • Management of Tenant deposits held by the company including reconciliation of interest due to tenants at the expiry of leases.
Other Occasional Duties
  • Management of certain other company investments such as cash deposits, liquid chemical containers and monitoring of stock exchange investments.
  • Certain personal or family trust related duties such as Beneficial Ownership filing, IT3T filing and monitoring of investments and collation for Trust audit purposes.
  • Administration of certain retirement/medical/life/investment policies for individual family members.
Requirements
  • Bookkeeping to trial balance and draft financial statements for audit
  • At least 10 years experience including working with multiple (pty) ltd companies simultaneously and including cross company journals.
  • An understanding and interpretation of financial statements are required.
  • Debtors invoicing and collection (tenant rentals) and handling of deposits using MRI (MDA) property management software.
  • Creditors reconciliation and payments on pastel - assisted by creditors assistant.
  • Experience in full audit preparation is essential (depreciation, accruals, capital and interest splits, inter company journals, vat recons, etc)
  • Payroll experience (20 employees) pastel payroll.
  • Experience in preparation of all SARS returns for companies and trusts. This includes income tax, PAYE, SDL, UIF, VAT, DWT and trust it3 c.
  • Workmans compensation annual return
  • Ability to compose relevant correspondence in English
  • Property/tenant related experience essential
