Role Description
We are now expanding and seeking a Project & Operations Coordinator to support the CEO, manage client relationships, and ensure our team in South Africa operates at peak effectiveness. This role is ideal for someone who is ambitious, proactive, and eager to take ownership of administration, project management, and customer communication while also growing with the business.
Key Responsibilities
- Client Communication & Relationship Management Act as an additional point of contact for clients (email, WhatsApp, calls). Draft and send proposals, contracts, and onboarding documents. Follow up with prospects and clients to maintain strong relationships.
- Project & Team Coordination Oversee ongoing projects (websites, social media, design, video). Assign and track tasks across team members to ensure deadlines are met. Maintain clear project workflows using Notion, CRMs, or similar tools. Identify risks or bottlenecks early and escalate to the CEO when necessary.
- Administration & Operations Oversee the handling of bookings, scheduling, and company admin. Maintain digital filing systems and ensure organized records. Prepare weekly and monthly progress reports.
- CEO Support Work closely with the CEO as a right‑hand partner. Anticipate needs and take initiative to reduce the CEO’s workload. Draft presentations, proposals, and strategies as needed.
- Additional Duties (Room to Grow) Take on leadership responsibilities as the business scales. Assist in developing internal systems and client experience processes. Participate in strategy discussions and bring fresh ideas to the table.
What We're Looking For
- Excellent written and spoken English.
- Strong organisational and administrative skills.
- Experience in project coordination, admin, or client communications.
- Confidence using digital tools (Google Workspace, MS Office, Notion, WhatsApp Business).
- Ability to work independently, take initiative, and "think outside the box."
- A problem‑solver with the ability to manage multiple tasks and priorities.
- Nice‑to‑Have Skills: Background in marketing, media, or creative industries. Experience drafting proposals, contracts, or business documents. Knowledge of social media platforms and digital marketing.
