Job summary

Monocle Solutions in Sandton, SA, is seeking an experienced Project Coordinator for the internal PMO. You will drive day-to-day resourcing, manage senior stakeholders and ensure accurate data, reporting, and resource planning across client projects.

You'll partner with Partners and the C-suite to forecast demand, produce health reports, and evolve PMO processes while supporting new system rollouts and continuous improvement initiatives.

Qualifications

  • 3 to 8 years' experience in a PMO function, ideally within a consulting business or financial services.
  • Proven experience in Data Analysis, resource forecasting and reporting on project health.
  • Understanding of how consulting businesses operate commercially, including utilisation, staffing models and supply and demand dynamics.

Responsibilities

  • Run the day-to-day resourcing process, matching consultant availability to current and forecasted project demand.
  • Monitor and report on resource availability forecasting, utilisation and capacity thresholds.
  • Flag under or over capacity risk early and work with Partners and Recruitment to resolve it.
  • Innovate on and continuously improve the firm's forecasting models to make them more accurate and reliable.
  • Creating, improving and managing business intelligence and management information from the PMO data to support business optimisation and growth.
  • Runs and continually seeks to optimise existing PMO processes and maintain data accuracy and reporting tools.
  • Engage daily with Partners and leadership; build credibility and hold rooms with senior stakeholders.
  • Own delivery of assigned PMO initiatives independently with growing scope.

Monocle is looking for experienced Project Coordinator to join our internal Project Management Office (PMO). The PMO is central to Monocle's consulting business andis relied upon by the internal functions and Partners to run the business. The Head of the PMO reports directly to the C-suite and implements the agreed strategy. This role reports directly to the Head of the PMO and exists to improve on and run the day-to-day functions of the PMO.

This role has a strong focus on working with people to drive outcomes that are important to the business. It is about managing senior stakeholder relationships, ensuring data accuracy, managing project reporting and assisting in keeping the business properly resourced and profitable.

The PMO manages staffing and resourcing across all client-facing projects in the firm. This role will engage daily with the Partners in the business, and regularly with the C-suite, to understand current and future demand, keep supply within acceptable thresholds and ensure the firm is capacitated correctly.

Key Responsibilities
Resourcing and Supply-Demand Management
  • Run the day-to-day resourcing process, matching consultant availability to current and forecasted project demand
  • Monitor and report on resource availability forecasting, utilisation and capacity thresholds
  • Flag under or over capacity risk early and work with Partners and Recruitment to resolve it
  • Innovate on and continuously improve the firm's forecasting models to make them more accurate and reliable
Reporting and Business Intelligence
  • Creating, improving and managing business intelligence and management information from the PMO data to support business optimisation and growth
Data Accuracy, Systems and Process
  • Runs and continually seeks to optimise existing PMO processes
  • Treat data accuracy, management and standards as the single most important priority in the role
  • Develop controls and reports to improve data accuracy, and implement these solutions once developed
  • Maintain and evolve the tracker and reporting tools
  • Support rollout and ongoing use of the PMO Systems
Reporting and Project Health
  • Report on the status and health of all client-facing projects across the firm
  • Produce and present reporting packs for senior Partners and the C-suite
  • Maintain data integrity across all PMO outputs
Stakeholder Management
  • Engage daily with Partners and leadership
  • Build enough credibility and command of detail to hold a room of senior stakeholders
  • Act as a trusted point of contact for project and resourcing queries across the business
PMO Development
  • Help solution new service offerings from the PMO to the rest of the business
  • Contribute ideas and input into new systems and process design, working alongside the PMO Head
  • Own delivery of assigned initiatives independently, with growing scope over time
Requirements
Experience
  • 3 to 8 years' experience in a PMO function, ideally within a consulting business or financial services (banking or insurance)
  • A project manager or similar would do well in this type of role (provided they are looking for a change of pace)
  • Proven experience in Data Analysis
  • Demonstrated experience in resource management, resource forecasting and reporting on project health
  • Understanding of how consulting businesses operate commercially, including utilisation, staffing models and supply and demand dynamics
Qualifications
  • Project management standards or certifications preferred: CAPM, PMP or PRINCE2 (certification funding available for further qualification)
